Coordinator, People & Organization
This position will provide administrative support for the Senior Vice President of People & Organization for Sony Pictures Television as well as the SPT P&O team – two Executive Directors, one Director, one Manager and an Analyst.
Responsibilities include answering phones, managing a busy calendar, handling travel arrangements and processing expense reports for SVP. Will include administrative support for the team – scheduling meetings, reporting, administration, operational activities & customer service for client groups.
Support for SVP:
• Schedule meetings involving numerous attendees
• Coordinate bi-weekly staff meetings -sending out Top 3s and staff meeting notes (have admin set up access on a SharePoint) and ensure conference room is booked
• Meeting coordination which includes booking conference rooms and meeting preparation
• Pro-actively managing a complex calendar
• Processing expense reports
• Other general administrative duties (processing mail, copying, filing, etc.)
Team Support:
• Coordinate and manage all team and staff meetings/events
• Ordering office supplies for the SPT team
• Expense and travel for all Culver City based SPT P&O Team
• Create shared calendar for all SPT P&O pod to share time off/WFH days / shared events
• Partner with BP pod to help streamline any operational tasks that can be automated – support in creating best practices so we are all aligned
• Draft promotion and employee data change letters
• Be a liaison with our P&O employee direct team on topics our employees are asking about
• Manage onboarding for any new team member on our team
• Maintain clean and organized shared workspaces
Administration & Operations:
• Create/manage and update SPT P&O SharePoint site
• Clear out and eliminate hardcopy docs and transition to softcopy files when possible- Help with file organization/document retention
• Create file for sharing valuable information (ie: job descriptions, templates, contract status doc, weekly top 3 both for P&O and SPT exec team, etc)
• Raising and managing requisitions for open positions in TV (including intern and Trainee reqs)
• Ensure job descriptions are updated when req is raised or promo occurs in workday
• RTO tickets: supervisor changes, cost center changes, job evals etc.
• Process release and waivers to RTO team for severance payments- maintain sufficient copies of exit paperwork available for team to use
• Process resignations… initiate the offboarding via RTO and capture resignation letter in personnel file, ensure badges are returned on last day, open tickets with IT for any equipment returned to BP
• Updating documents using Word, Excel, and PowerPoint – team expert in formatting
• Prepare promotion letters, captures in personnel file
• Drafting memo for non-exempt employees requesting for laptop/mobile device in Service-Now
Reporting
• Create/manage/send monthly open req report to help track where we are at with staffing (using Tableau)
• Ad hoc reports from WD (distribution lists, req reports, etc.)
• Update/create/pull org charts for team
• Updating SPT Contract roster for Mike (monthly)
• Crackle temp tracking
Required skills:
• 3-5 years' experience as an administrative assistant
• Excellent communication skills – written and oral (must have a professional and courteous demeanor)
• Must be able to multi-task and prioritize to ensure that all assignments are completed in an accurate and timely manner
• Ability to take direction and organize with minimal instruction
• Must have good attention to detail.
• Must exhibit discretion and understand the importance of confidentiality
• Reliable
• Strong computer skills (Microsoft Word, Excel, Outlook and PowerPoint)
• Experience with SPE systems – Workday, Ariba, Concur etc.
• Ideal candidate would have an interest in a career within Human Resources
