Administrative Coordinator (6 month FTC)

We currently have a fantastic 6-month fixed term opportunity for a highly organised administrator to join our London office, providing support to our International TV Production Consultancy team.
In this role you will actively work on the administration and coordination of assets, materials, and services relating to the running of all our unscripted TV format productions.
You will take an active role in the day-to-day running and management of our internal global unscripted productions database, inputting data from designated territories to provide the company with information crucial to exploiting secondary revenue.
You will also get the opportunity to liaise extensively with Sony Picture Television's Format Sales, Marketing, Graphics, Finance, Legal, and Interactive, Departments, to maintain a strong level of communication between colleagues relating to assets storage and data management.
Duties include:
• Regular liaison alongside the Production Consultancy team with international broadcasters, production companies and licensees, providing help and assistance with the delivery and collection of assets and information related to all of SPE's unscripted programming.
• Processing purchase orders and invoicing for the procurement of goods and services necessary to support the sale of some unscripted formats. This will involve working alongside the Finance Department ensuring all relevant invoices have been processed in line with our format licence agreements, as regular auditing will be required.
• Working with completed show reports to process transmission data and production information into a central productions database, whilst cross-checking against licensees' contractual obligations.
• Processing business expenses for the Production Consultancy team in the relevant finance system (Concur).
• Working with the Production Consultancy, Asset Management, and Marketing departments in the sharing and storage of all global SPT localised formats.
• Assisting with booking travel arrangements for the Production Consultancy team, liaising with the Sony travel department.
• Further administrative duties, to include updating generic production files, and further database management.
Candidate Requirements:
To be considered for this role you will typically have 1-2 years' experience in a previous administrative role, and equivalent related experience within TV production is highly desirable.
You will also have or be able to demonstrate the following:
• Strong organizational and planning skills, ensuring everything is carried out accurately, in a timely manner.
• Highly proficient and proven level of IT skills including digital file conversion, Adobe, Word, Excel, PowerPoint & Microsoft Office.
• Excellent communication skills, both orally and written.
• Ability to build excellent working relationships, with an appreciation for customer needs and expectations to provide an excellent customer service.
• Possess a well-organised and efficient approach combined with the capability to follow through.
• A highly motivated individual with the enthusiasm, resilience and the drive to make things happen.
• Must be flexible and proactive with a 'can-do' attitude and a dynamic approach to work.
• Ability to demonstrate initiative and a creative approach to all aspects of the role.
• Conscientious and focused, with an ability to work well under pressure, multi-task, prioritise and respond quickly to change.
• A confident communicator with the ability to forge strong working relationships.
• A foreign language is desirable, preferably Polish, or Russian, or Spanish.
• Experience of Global, multicultural, and cross-organizational environments - desirable
• Commercially aware of industry-standard and local client markets - desirable
• A good understanding of all aspects of studio and factual entertainment production - desirable
