Administrative Assistant II, Planning Process Integration
The Sony Pictures Planning Process Integration (PPI) team has an open Administrative Assistant II role in their Culver City headquarters. This position will report directly to the Senior Vice President and primarily responsible for administrative support to the SVP and the team.
The PPI team is responsible in building/maintaining an enterprise financial business planning model and creating a new corporate data management function for Sony Pictures Entertainment (SPE).
Responsibility:
Administrative Duties:
• Schedule meetings, conference rooms and manage calendars
• Process expense reports
• Travel coordination
• Request and manage Security clearance
• Coordinate team events and/or training
• Order office supplies
• Handle phone calls
• Word processing (composing and generating letters, memos, fax cover sheets) and distributing documents
• Updating databases and administer team Sharepoint portal
• Other general administrative duties (processing mail, copying etc.)
Special Projects (includes but may not be limited to)
• Responsible for process to onboard consultants using Service Now, Ariba etc.
• Responsible for reporting and tracking
• Assist projects with spreadsheets, presentation, documentation, reporting and/or research
• Assist with project budgets and invoices
• Administrative coordination across projects
• Miscellaneous duties as required
Required Qualifications:
• Bachelor's Degree preferred
• 1-2 years of Administrative experience in a Corporate setting
• Highly motivated and professional (self-starter)
• Interested in assisting in efficient departmental administration
• Ability to work in a fast-paced environment and meet deadlines
• Ability to work well in an environment where needs and priorities are subject to revision
• Strong organization skills and able to handle multiple projects and effectively prioritizes
• Strong inter-personal skills across all levels of management and excellent teamwork capabilities
• Aptitude to learn new applications (ServiceNow, etc)
• Proficient in Microsoft Word, Excel and PowerPoint skills required
• Knowledge about admin tools (Concur, TAAS, etc.)
• Proactive and excellent communication skills, both verbal and written; heavy email correspondence
• Ability to maintain confidentiality and follow directions without concern
• Attention to details are required
