Administrative Assistant III, Global Mastering & Servicing
Supporting all lines of business at the studio, the Sony Pictures Global Mastering & Servicing group (GMS) is responsible for the mastering, versioning and servicing of features and television content for worldwide distribution. As the media workflow experts, GMS provides digital workflow solutions and ensures the Studio's media assets match strict quality standards and are ready for both library and distribution.
Core areas of responsibilities are:
• Mastering film & television content for global distribution (color, mix, restoration, editorial)
• Localizing content (dubbing, subtitling, versioning, mastering)
• Managing content inventory for high-volume, secured distribution, as well as archives
• Servicing sales across Lines of Business
The Administrative Assistant position will assist the Executive Vice President of GMS and the Senior Vice President in charge of GMS Production Operations in the day-to-day operations of the group. The assistant will also provide some admin support to other senior executives as needed.
Core Responsibilities
• Managing schedules and calendars for 2 busy executives (including negotiating with other executives' assistants); Preparing logistics for meetings and conference calls; Coordinating group events; Providing best customer service to all internal and external departments and staff by providing timely, accurate, reliable, and friendly communication
• Preparing and maintaining documents, presentations and various worksheets, database and lists; Managing document flow, including organization and maintenance of records; Tracking departmental project status; Managing email groups, writing and sending group emails; Creating and updating department documentation (New Hire manual, Assistant's manual); Keeping abreast of studio and industry news
• Answering multi-line phones and triaging urgent calls
• Assisting with various departmental processes (employee on-boarding/off-boarding) and production workflows (sending and tracking talent approvals; scheduling occasional ADR sessions); Copy editing and proof reading; Taking meeting notes and distributing in timely manner
• Coordinating travel arrangements and preparing Travel & Expense reports
• Handling other general administrative duties (scanning, processing mail, copying) as well as miscellaneous errands and projects as required
• Overseeing office management for the entire group (ordering supplies, maintaining seating charts, creating work requests for servicing)
Job Requirements
• 3 years of experience in an administrative or coordination role in a fast-paced corporate environment
• Excellent oral (professional and courteous demeanor) and written (spelling, punctuation, grammar) communication skills
• Thorough understanding of and commitment to Customer Service
• A very strong sense of personal initiative, ability to anticipate needs and follow through without supervision
• Commitment to teamwork and making GMS a better place for everyone
• Extreme attention to detail and excellent organization skills
• Experience interacting with diverse personalities and ability to build great working relationships with everyone, from peers to senior management
• Independent worker with ability to set priorities in a fast paced deadline-driven environment
• Common sense, dependability and discretion
• Personal interest in new technologies and familiarity with digital media and production a plus
• Experience working at a studio and knowledge of entertainment industry preferred
• Expert proficiency in Microsoft Word, Excel, PowerPoint, Outlook and Visio
• BA/BS degree or equivalent experience
