As a member of the A&R Administration team, you will complete administrative tasks that ensure budgets for artists signed to the label are managed properly. These budgets are concerned with costs associated with recording albums: studio time, producers’ fees, compensation for session musicians, and mastering.
The ideal candidate is someone who is organized & detail oriented. In addition, the successful candidate will be able to handle multiple projects in a fast-paced, ever-changing and deadline driven environment while demonstrating a collaborative approach with co-workers.

Responsibilities
• Initiate project setup in local and global repertoire databases for all recording projects; prepare and distribute recording commencement and delivery notices
• Collect recording budgets from producers/coordinators, review for accuracy, make revisions as needed and route for internal approvals; communicate with producers/coordinators to minimize recording costs
• Track budgeted versus actual costs; review Purchase Order requests, issue numbers and process recording cost payments
• Provide cost reports as requested to internal staff and external parties (i.e. producers); serve as liaison between session vendors and Accounts Payable; analyze payment data as requested by supervisor; alert A&R staff if projects exceed budget.
• Receive and manage union liability payments
• Compile recording project timelines by gathering data from various sources; inform producers/coordinators of detailed departmental policies, procedures and delivery requirements including providing access to website link
• Assist with archiving audio and video masters and vault management
Qualifications
• Understanding of management of budget costs and reporting, typically gained through 2 or more years of experience in an accounting, bookkeeping, or finance role
• Basic understanding of recording process and related label operations; recording industry experience preferred.
• Excellent administrative and organizational skills, including proficiencies in MS Office applications
• Knowledge in and experience with database applications
• B.S. Degree preferred
• Strong attention to detail
