Facilitates strategic and cross-departmental projects directly under the SVP, Growth & Innovation, including but not limited to, the management of SVP’s executive office and other organizational support and project management functions. This role will also serve as a resource for the President’s office in executing special projects and management of other requests from his office.
Responsibilities
The Special Projects Manager’s responsibilities may include but will not be limited to the following:
Executive Liaison:
• Function as a project manager and adviser, working closely with the SVP, to provide oversight to projects, ensuring key stakeholders are updated, deadlines met.
• Assist SVP in ensuring all departmental OKRs are updated, aligned and followed through to achieve maximum performance within the G&I department.
• Record and manage meeting minutes, synthesizing multiple points of view, recording next steps and aiding teams to align on direction for successful completion.
• Provide a bridge for smooth communication between SVP, and internal departments. Build relationships crucial to effective cross-functional collaboration.
• Provide critical support through research, analysis and summarization of information, working with relevant stakeholders to provide SVP/Executive leadership team clear considerations and information to make sound decisions.
• Successfully complete critical aspects of deliverables with a hands-on approach, including drafting correspondence, maintaining tracking documents and other tasks, which facilitates the SVP’s ability to effectively execute on top priorities.
• Help SVP/Executive leadership team maintain and further advance internal/external relationships.
Executive Communications:
• Manage all inbound requests for SVP, and work with internal team to seek resolutions as needed, including triage of executive correspondence and in-office requests.
• Prepare presentations for internal and external audiences and other relevant materials.
• Help coordinate executive team off-sites, conferences/workshops and support company events/activities.
Administrative Support:
• Manage SVP’s calendar to ensure the most effective management of executive’s time.
• Research and prepare meeting materials, executive agenda and other governing documents to maximize efficiency of SVP/Executive leadership for all internal and external meetings.
• Prioritize day-to-day operations, workflows and commitments for the SVP, by planning out long-term travel, logistics, pending meeting priorities and directly supporting with task completion for all executive office objectives.
• Assist SVP in managing internal budget, reconciling expenses and providing other oversight or budgetary support in the office of the SVP.
Qualifications
• Minimum of (5) years of professional experience managing projects
• Bachelor’s degree preferred
• Strong knowledge of Microsoft Project, PowerPoint, Word and Excel
• Detail-oriented organizational and process management skills to manage a wide range of incoming requests and responsibilities
• Demonstrated ability to adapt constantly to changing priorities in managing a wide range of projects and proven leadership skills in project management
• Proven ability to anticipate executive needs and provide support with little to no direction
• Ability to effectively present information, interact with, and respond to questions from groups of managers and employees
• Strong written communication skills and ability to distill and convey information in a compelling manner.
• Ability to remain objective and calm in difficult situations
• Emotional intelligence and ability to establish strong and trusting relationships
• Ability to exercise good judgment and political astuteness
• Operate with the utmost level of confidentiality and sense of urgency to handle sensitive issues and work within a fast-paced environment
• Must be able to work with minimal supervision
• Ability to work outside normal business hours
