The Coordinator, Media is responsible for providing administrative support to the Legacy Recordings media team and assistant support to the Senior Vice President of Marketing. The Coordinator will help to ensure efficient day-to-day operations by successfully accomplishing the following responsibilities:
Responsibilities
• Process expense reports and organize travel for Senior Vice President of Marketing.
• Organize promotional music advance mailings (advance CDs, press releases, labels, etc.) and plant mailings. Generate digital press kits/audio e-cards using Promo Tools. (Advance music.)
• Responsible for vendor invoice management and will work closely with Finance to ensure timely payment of all invoices.
• Design and digitally distribute company-wide a weekly ''Press Highlights Report'', which includes features, reviews and links to editorial coverage of Legacy projects and campaign specific press reports.
• Coordinate with the Marketing and Content departments to source assets for digital press kits. Responsible for editing press releases, e-blasts, selecting press images and setting up photos.
• Create press campaign quote sheets by compiling quotes from traditional and digital media sources.
• Coordinating content assets (track premieres and music video premieres) by way of Vevo embed process.
• Fulfill general press/media requests (cover art, press photos, press releases, quote sheets, etc).
• Where needed book artist promotional travel.
• Facilitate artist Press interview schedules by working closely with artist management when needed.
• Plan and help execute press events (listening parties, promotional movie screenings, and artist showcase events).
• Oversee the following:
• Fulfillment of packages going to media, hitting deadlines (daily and weekly).
• Maintaining file maker-pro Press contacts list (1500 contacts).
• Maintaining archival press files/basic product inventory.
Qualifications
• 1-2 years of administrative experience in publicity or a related communications field is preferred.
• Experience in Microsoft Office, Filemaker Pro, Soundscan, Ariba, Citrix, and RPS is preferred.
• Experience with Photoshop and Illustrator.
• Proficiency with Google Docs and Social Media (for our twitter account).
• Able to use TV Eyes/Burrelles Luce, is a plus.
• Excellent communications skills a must.
• Excellent command of language with strong writing skill, telephone skills and interpersonal skills and he/she must be comfortable interacting with high profile clients.
• Ability to multitask, prioritize and focus while working under potentially stressful and demanding situations.
• Exceptional organizational and time management skills.
• The use of discretion and the maintenance of high levels of confidentiality are required.
• Professional, confident, posititive and calm demanor.
• Must have a tremendous love of music.
• Healthy sense of humor helps, as well (don’t take yourself too seriously)!
