Full Time Job
The Coordinator of A&R Administration will act as a liaison between A&R, Business & Legal Affairs, Finance and the rest of the label’s departments to execute the recording process and ensure the successful delivery of recordings intended for commercial release. Position will be located in the New York Office and report to the Senior Director, A&R Administration.

Responsibilities
• Route recording budgets and obtain necessary approvals
• Setup projects in recording cost system including requesting project codes and royalty accounts
• Process contractual costs including advances & fees (artist, licenses, etc)
• Process invoices, including coding of invoices in our financial systems. Correspond with vendors to issue purchase orders and resolve outstanding invoice issues
• Fully responsible for all vendor maintenance activity: vendor updates, vendor adds, collaborate with Accounting, and act as the primary contact for new payees
• Coordinate mastering sessions and ordering reference files/digital links
• Organize transfer of audio and video files and materials to/from studios, remixers, mixers, etc.
• Collect masters (files, hard drives, tapes) and route them for verification/archiving; liaise with the Sony Music Archive Department to obtain masters and send masters back to them
• Complete and submit union contracts (AFM/AFTRA); collecting materials from artist management, musicians, vocalists and interacting with the union and union payroll company
• Attend various meetings including Production/Scheduling meeting and Business & Legal Affairs meetings
• Ensure receipt of producer agreements and LODs (communicating updates to royalties)
• Work with all departments to ensure everyone has the materials they require to do their job (Includes preparing project charts for each assigned project released)
• Organize and maintain filing systems
• Answer phones and manage travel and expenses for the VP of Business and Legal Affairs and Senior Director of A&R Administration
• Aid the team with various research and special projects, as required
Qualifications
• Bachelors Degree / 1-2 Years Experience preferred
• Excellent computer skills with strong background in Microsoft Office Suite
• Demonstrated ability to operate in a fast-paced environment, responding to issues promptly with a strong orientation toward customer service and team work
• Self-motivated and able to complete tasks independently
• Strong time management skills, including prioritization and follow through
• Detail oriented, well organized and focused
• Ability to meet tight deadlines, safeguard confidential information
• Strong verbal and written communication skills; the ability to communicate effectively
• Ability to perform research, summarize info, and report back findings
• Knowledge of audio files (multitracks, stems, mix passes) and recording systems preferred, but not required
• Interest in classical, neo-classical, and/or Broadway music a plus
