Full Time Job
This position will provide administrative support to radio promotion executives, to ensure the efficient day-to-day operation of the West Coast Promotion department by successfully accomplishing the following responsibilities:
This is a temp to perm opportunity.
Responsibilities
• Answer, screen and direct incoming calls
• Generate specific reports for department (MediaBase, BDS, SoundScan) and disseminate information to radio promotion staff
• Prepare business expense reports in a timely, efficient and accurate manner
• Coordinate travel itinerary
• Organize meetings/appointments/conference calls for the department
• Facilitate all travel related to promotional contests and Artist promotional events
• Provide assistance in Artist radio visits as needed
• Provide digital delivery of current singles to radio stations
• Provide and Compile weekly airplay updates and Adds & Rotation report
• Maintain/Distribute win-it promotion lists digitally and physically
• Generate weekly One Sheets; to include compiling information and embedding links
• Craft one sheets for individual artists during award shows
• Secure and maintain files/invoices/quarterly letters in accordance with compliance guidelines
• Monitor social media channels and create trend setting reports
• Circulate the staff schedule on a weekly basis
• Process invoices in a timely manner
• Mail promotional materials to radio stations
• Order and maintain office supplies and product requests for the Promotion Department
• Maintaining office contact lists
• Special projects as assigned
Qualifications
• Minimum of 1 year general administrative experience
• Prior music industry experience strongly preferred
• Strong knowledge of Microsoft Office
• Strong written and verbal communication skills
• Ability to multitask and perform in a fast paced environment
• Possess a positive and professional demeanor
• Strong background in Pop/Rhythm/Urban/Alternative/Dance/Rock genres
• Fluency in all social media channels & Digital Outlets
• Must be proactive, organized, self-starter who has strong problem solving, social, and interpersonal skills.
• Must have exceptional communication and time management skills.
• Must be able to work independently but be a team player and flexible.
• Must be able to adapt to all situations and handle stress.
• Must be able to create and maintain good relationships with artists, managers, attorneys, etc.
• Be available to work overtime and to attend occasional evening showcases as requested
