Sony/ATV Music Publishing is seeking an exceptional, highly motivated, and detail-oriented Executive Assistant to support the Co-President of our Los Angeles office. We are seeking a career-minded assistant. The successful candidate must be able to work well in a fast paced environment, have the ability to multi-task and be detail-oriented on behalf of an extremely busy executive.
Primary Responsibilities:
· Maintain Co-President's daily calendar, call log and contact list
· Heavy scheduling of internal, external and international meetings/calls
· Screen telephone calls and incoming mail, publications and other correspondence
· Make travel and lodging arrangements
· Complete and track expense reports
· Book studio + travel arrangements for writers/artists and process associated invoices
· Track recording/marketing fund balances for writers/artists
· Set up and maintain files that may contain confidential information
· Organize co-writing sessions, obtain and submit songs & split information for various writers signed out of the west coast
· Assist in seeking new talent for the possible publishing deals via industry contacts, reviewing submissions, scouting internet sites and attending shows as needed
· Prepare reports, letters, memorandums etc as requested
· Assist in the circulation of various deal memos and contracts
· Obtain and organize monthly update reports from full A&R staff
· Pull Mediabase + Soundscan reports as needed to track radio + sales status of releases
· Manage music files (digital and physical), including organization of submissions
· Performs other related duties as assigned, including some personal requests
· Standard hours are 9:30am-6:30pm with overtime as needed
Qualifications:
· Must love music!
· College degree preferred
· Minimum of 3 years executive or personal administrative experience within the music or entertainment industries supporting a similar level executive
· Exceptionally organized, meticulous, and detail-oriented
· Team player with ability to perform multiple tasks simultaneously
· Ability to handle high volume of transactions and interact with various departments
· Ability to consistently work under pressure in a professional manor; excellent problem solver
· Ability to use analytical thought process to make fast paced decisions
· Ability to effectively interact and communicate with all levels of employees including Sr. Management and Artists/Writers
· Must have experience with music files and libraries (iTunes, mp3 files, etc.)
· Must stay up to date with current music industry trends
· Extremely proficient in MS Word, Excel, Outlook, and PowerPoint
