Sony/ATV Music Publishing is seeking to fill the position of Administrative Assistant in our NY office. The assistant will have daily administrative responsibilities to the CIO/ Sr. Vice President of IT and the IT department in General. The preferred candidate will have prior business education, and/or business experience, preferably within an IT department.
The assistant will have the following responsibilities:
Daily support to the CIO/ VP and the IT department
Coordinate and schedule internal and external meetings
Answer & screen telephone calls and incoming mail, publications and other correspondence
Produce spreadsheets and presentation materials, etc. from verbal direction or from knowledge of organization policy and procedures in an accurate and efficient fashion
Coordinate and process invoices: liaise with vendors and accounts payable to research and resolve billing and payment inquiries as needed, process invoices on SmartSearch database, maintain invoice filing system
Coordinate and manage filing systems
Prepare and compile reports, primarily in Excel
Maintain CIO's daily calendar and contact list
Make travel and lodging arrangements
Complete expense reports
Set up and maintain pending and permanent files that may contain confidential information
Maintain time-off schedule and records
Monitor music emails for technical quality
Order supplies and beverages for the IT and Finance Departments
Back-up assistant to other senior executives as necessary
Assist in projects as needed
Perform other related duties as assigned
A qualified candidate must possess the following skills:
Excellent communication skills
Highly organized and detail oriented
Exemplifies willingness to take initiative and follow up
Ability to prioritize and complete all tasks in the allotted time frame
Ability to maintain high levels of accuracy while handling multiple tasks
Ability to manage and prioritize a large volume of work
Ability to maintain a positive attitude
A minimum of 2 years administrative assistant experience required, preferably in an IT Department
College Degree Preferred
Computer systems literate - proficiency in the use of MS Word, Excel, Powerpoint, and Outlook
