SAMPLE OF RESPONSIBILITIES
Review job details with Executive Producer (EP)
Assist EP to ensure Director is prepared with all available materials for calls with Agency
Attend conference calls with EP, Agency Producer and/or Director to:
Discuss scripts
Discuss approach to job
Discuss bidding guidelines
Discuss treatment after submission to Agency
Develop an approach to each ''job'' with Director and EP including:
Individual production schedule (with consideration to director's ''master'' calendar - see below)
Talent needs (number of talent per spot, per job, per day, union or non-union, special talents needed, etc)
Location needs
Equipment needs
Art department needs
Any additional needs considered with Director's unique interpretation based on treatment and general knowledge of Director's style, technical tactics typically employed, etc.
Maintain ''master'' calendars for Directors, including:
All jobs for directors in play
Any personal days
Travel considerations
Post schedules
Research production requirements for each job, and summarize for Director, EP, and Agency as needed
Supervise any colleague research to ensure it is thorough and accurate (including staff Production Coordinator, Supervisor, or any research found on research database)
Maintain excellent Agency relationships including:
Responding efficiently to Agency queries and requests
Responding efficiently and diplomatically to cost consultant requests, while maintaining SMUGGLER policies
Coordinate Post / VFX budgets with outside vendors, including, but not limited to:
Brief post house on Director's concept
Share key materials
Review bids and ensure they align with job specifications
Manage budget within Agency's overall target
Incorporate accurate post calendar into production schedule
Assist EP in the oversight of jobs in production:
Inform production team of key research and bidding history when job awards
Answering any questions while production is in process (overage possibilities, etc)
Assist in estimates for overages or additional deliverables to add to job, as requested
Maintain awareness of global locations for filming, including:
Meeting with service companies
Researching currency conversion rates in conjunction with CFO
Anticipate unique needs of each bid package, and customize elements of standard bid form and bid letter to each job.
Maintain file system organizational structure
Stay up to date with current industry news, trends, innovations, and regulations
Consider legal and/or contractual concerns
Provide light technical support to EP upon request
Support NY based productions in coordination with COO/HOP
