This position is based in Los Angeles, California and reports to the VP of Finance, Americas. The Payroll Administrator manages payroll and associated financial reporting for the Americas through ADP Workforce Now. Specifically, the Payroll Administrator will perform all payroll duties including balancing and controlling earnings and deduction totals, calculating hours, determining and correcting out-of-balance conditions, gathering payroll data, calculating pay, and verifying automated system output such as registers and standard reports for accuracy.
Principal Duties & Responsibilities
• Process payroll information by collecting, calculating and entering the necessary data into ADP for US.
• Process payroll for two employees in Canada including preparing all related journal entries for the payroll run.
• Receive, audit, input and verify payroll information.
• Coordinate payroll associated activities such as verifying timesheets have been entered and approved, overtime entries have been verified against schedules and all new hire data has been reviewed and approved.
• Notify Managers and Supervisors of payroll processing timeline changes.
• Process bi-weekly time off submissions in ADP.
• Verify and audit of exception pay, taxable benefits and voluntary deduction items.
• Enter HR approved employee changes that are not submitted using ADP self-service.
• Release bi-weekly Flexible Spending Account Reports to vendor for addition to participant accounts.
• Verify 401K funds withheld from participant accounts are submitted in compliance with plan requirements and consistently so to comply with IRS rules.
• Setup, process and remit involuntary deductions in accordance with local/statutory legal requirements.
• Input approved commission payments into payroll in accordance with any instructions.
• Provide payroll information by communicating with employees to resolve payroll discrepancies promptly and accurately.
• Work with Human Resources department on a regular basis to ensure the accuracy of employee data.
• Determine payroll liabilities by reviewing the calculation of employee federal and state income and social security taxes, and employer's social security, unemployment and workers compensation payments.
• Process manual checks/deposits, off-cycle payroll runs and retroactive payments, processing electronic transfers to various accounts.
• Monitor ADP invoices for accuracy.
• Complete downloads from ADP and prepare reports by compiling summaries of earnings, taxes, deductions, leave, disability, personal time off and non-taxable wages.
• Manage and provide month-end accruals related to payroll.
• Work with the Human Resources Department to coordinate and input data on all new hires and terminations.
• Provides data for 401K Audits, Workman's Comp Audits, 5500 Compliance Reporting and other requests.
• Respond to more detailed employment verification requests.
• Reconcile payroll sub-ledgers to general ledgers.
• Research tax inquiries, responding to queries about W-2's, withholding, etc.
• Comply with Federal, State and Local legal requirements by studying existing and new legislation; enforcing adherence to requirements; advising the CFO on any required actions.
• Process employee statutory remittance corrections as soon as possible within ADP and external state and federal offices.
• Communicate with Corporate and US Finance Teams on confidential pay related matters advising of any changes impacting their reporting on bonuses, taxation, cost accruals, etc.
• Maintain payroll guidelines by writing and updating policies and procedures.
• Prepare special reports by collecting, analysing and summarizing information, as requested.
• Protect payroll operations by keeping information confidential.
• Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; and participating in professional societies.
• Assist in the overall departmental needs and office-related responsibilities, i.e. data entry, filing, etc.
• Must adhere to full-time schedule and overtime requirements, including overtime when needed.
• Performs other related duties, as assigned.

• Advanced excel skills for reporting and other financial tasks is required.
• Experience or familiarity with Navision desired, not required.
• Strong knowledge of Federal, Local, and Multistate withholding compliance.
• High level of professionalism to deal sensitively with confidential matters.
