Title: Administrative Assistant
Department: Administration
Supervisor: Executive Assistant to the President and CEO
Status: Full Time; Non Exempt
Position Summary:
Assist the President and CEO's Executive Assistant with the department's administrative functions. The person will interact with other members of the organization and a number of important external customers. This position requires excellent written and verbal communication skills, significant attention to detail and excellent organizational skills.
Position Responsibilities:
• Retrieve and print daily publications/reports (Sports Business Daily, Clips, TV ratings, Baseball Organization reports). Monitor local newspapers for relevant Giants/industry coverage
• Daily responsibilities include answering phones, coordinate calendars, file, open sort and distribute mail
• Coordinate travel
• Serve as backup to Executive Assistant
• Coordinate redemption of auction packages
• Coordinate internal ticket purchase requests, manage internal ticket bank, prepare monthly ticket report and distribute game tickets to will call
• Prepare check requests, prepare expense reports and maintain expense report files
• Assist with meeting preparation – material distribution and refreshments
• Special projects as assigned (creation of reports, internet searches, prepare drafts and proofread correspondence, coordinate sponsored business luncheons/dinners, etc.)
• Other duties as assigned – prepare packages for mailing, run errands, etc.
Position Requirements:
• Bachelor's degree, Associate' degree or relevant experience required
• Strong communication skills, both written and verbal
• Exceptional customer service, administrative and organizational skills
• Strong computer skills in Microsoft Word, Excel and PowerPoint
• Strong attention to detail with the ability to multi-task in a fast-paced environment
• Ability to handle confidential information with the highest degree of discretion, diplomacy and professionalism
• Must be proactive and able to think quickly and independently
• Ability to work well within a team environment to achieve department goals
• Ability to work non-traditional hours in non-traditional settings
