Spurs Sports & Entertainment (SS&E) is seeking a highly organized, detail-oriented, and forward-thinking Executive Assistant to support the Chief Impact & Inclusion Officer (CIIO) and collaborate closely with the Director of Impact Excellence. This role ensures the smooth and efficient operation of the Impact department by managing priorities, coordinating communication, and facilitating execution across internal and external stakeholders.
The ideal candidate is a proactive problem-solver, skilled communicator, and trusted partner who thrives in a dynamic, mission-driven environment. They will serve as the organizational heartbeat of the Impact team—balancing tactical support with strategic awareness to help advance SS&E’s community and inclusion goals.
What You’ll Do:
Executive & Departmental Support
• Manage calendar, email communications, travel, and priorities for the CIIO.
• Prepare and coordinate materials for meetings, presentations, and board/partner engagements.
• Handle sensitive and confidential matters with utmost discretion.
Operational Coordination
• Partner with the Director of Impact Excellence to ensure departmental projects, deliverables, and communications are on track.
• Track and follow up on key action items and ensure alignment between the CIIO, Director Impact Excellence, and Impact team.
• Maintain visibility on departmental initiatives, meetings, and milestones.
Information & Communication Management
• Serve as a liaison between the CIIO and internal/external partners.
• Draft, edit, and manage correspondence and departmental updates.
• Ensure timely flow of information and maintain version control on shared documents.
Meeting & Event Preparation
• Plan and execute team meetings and leadership offsites.
• Develop agendas, take notes, track decisions, and follow up on deliverables.
• Coordinate logistics such as venue, catering, AV, and materials.
Strategic Administrative Excellence
• Anticipate needs and proactively propose solutions to optimize time and efficiency.
• Support tracking of department budget, expenses, and vendor relationships.
• Coordinate recognition and engagement efforts for the Impact team and partners.
Culture & Relationship Building
• Build trusted relationships with internal leaders, partners, and external organizations.
• Represent the Impact department with professionalism and warmth in all interactions.
Who You Are:
• 3–5 years’ experience providing executive-level administrative support; experience in business, sports or community impact preferred.
• Proven ability to manage complex calendars, competing priorities, and confidential information.
• Experience coordinating projects and tracking deliverables in collaboration with multiple stakeholders.
• Strong written and verbal communication skills; experience drafting materials for leadership a plus.
• High proficiency in Microsoft Office and collaboration platforms (Teams, SharePoint, Outlook).
• Demonstrated judgment, discretion, and professionalism.
• Ability to work flexible hours, including evenings or weekends aligned to community and SS&E events.
Physical Requirements:
• Ability to remain in a stationary position for extended periods while working on a computer.
• Ability to move about office locations, event venues, and community sites as needed to support meetings and activations.
• Occasionally required to lift or carry up to 25 pounds of event or office materials.
• Must be able to communicate effectively in person, virtually, and via phone/email.
• Role may require work on evenings, weekends, or holidays in alignment with SS&E and community events.
• Ability to travel locally between SS&E venues and partner sites; valid driver’s license preferred.
