Workflow Coordinator (Mail Team - Residuals Processing, Trust & Estates)

Responsibilities
What You’ll Do
The Workflow Coordinator is responsible for the workflow of the mail team that includes distributing work assignments, troubleshooting problems with Xerox high-speed printers and mail equipment, as well as tracking work assignments.

• Track and update all work assignments for mail team members
• Set mail dates
• Manage the sorting and distribution of special handling items
• Ordering of supplies
• Manage mismatched checks
• Troubleshoot problems with batches sent to Solimar
• Communication with Xerox and other vendors for technical support regarding issues that arise with machines
• Facilitate and track hand matching check process
• Document new and existing procedures as necessary.
• Training team members on new and existing procedures.
• Other duties or special projects as assigned including those covered under the Residual Processing Specialist – mail team job description.

• Demonstrate effective skills in the use of PC applications
• Must have knowledge of all related tasks of dept.
• Customer service oriented, dealing with difficult situations and performers.
• Superlative interpersonal skills: high degree of patience and tact. Must be able to cultivate respectful, strategic and collaborative relationships with people from diverse backgrounds, both internally and externally.
• Able to communicate effectively in English, both orally and in writing.
• Able to use PC applications.
• Detail oriented.
• Able to work under pressure.
• Ability to lift 30-45lbs.
• Hold yourself and others accountable for a high level of performance and integrity.
• Have an understanding and awareness of worker rights impacting SAG-AFTRA members.
• Must be detail oriented.
• Able to prioritize, organize and coordinate multiple tasks under daily deadlines.
• Capable of taking direction from more than one supervisor.
• Must maintain regular and acceptable attendance at such level as is determined at SAG-AFTRA’s sole discretion.
• Must be available and willing to work extended hours per day or per week, including weekends as SAG-AFTRA determines is necessary to meet its business needs.
• Must be available and willing to travel to such locations and with such frequency as SAG-AFTRA determines is necessary or desirable to meet its business needs.
MINIMUM QUALIFICATIONS:
Education
and/or Experience:
• High School diploma or equivalent.
• Experience using MS Word.
Certificates, licenses, and/or registrations: N/A
TESTING REQUIREMENTS:
• Basic skills: Spelling, math, grammar and filing - passing score: 76%
• Typing test 35 WPM
• Microsoft Word and Excel tests (basic, intermediate and advanced) – passing score: 76%
