POSITION PURPOSE: The Administrative Assistant provides overall administrative support to the Los Angeles Local Department. This position will provide administrative and event support for SAG-AFTRA LA Programs.
Responsibilities
ESSENTIAL DUTIES & RESPONSIBILITIES:
• Multi-line department phone coverage and maintenance of multiple mailboxes. Directs calls as appropriate and answers routine inquiries.
• Responds to incoming emails from multiple email accounts.
• Prepare event materials as requested. This includes, but is not limited to: RSVP lists, event handouts, materials for member orientation.
• Assists in the organization and administrative maintenance of department.
• Researches and prepares special reports and memos as needed.
• Assists with event and meeting preparation to include: securing space, arranging refreshments and/ or catering, arranging A/V, and preparing handouts.
• Maintains the LA Local Group Calendars by updating new events and meetings, distributing weekly to LA Local staff.
• Maintains and updates attendance reports for LA Local events.
• Staff internal and external events as required and handles set up, check-in and closure.
• Conducts document and file maintenance.
• Assists with projects as determined by supervisor.
• General clerical duties (copying, faxing, typing, mailing, distributing, and organizing)
• Performs other duties as assigned.
Qualifications
REQUIRED KNOWLEDGE, SKILLS & ABILITIES:
• Professional, articulate telephone manner
• Can accurately type 50 WPM
• Proficient in Microsoft Office products: Word, Excel, Outlook, and Powerpoint.
• Experience using Oracle is a plus
• Strong organizational skills, with the ability to coordinate multiple tasks under deadlines
• Excellent verbal and written communication skills
• Ability to maintain confidentiality and exercise diplomacy in all matters
• Ability to respond to difficult situations and individuals in a tactful and diplomatic manner
• Ability to work independently and as part of a team
• Initiative regarding follow-up procedures on pending matters.
• Ability to retrieve and relate information accurately and promptly
• Detail-oriented
• Capable of taking direction from more than one supervisor
• Superlative interpersonal skills: High degree of patience and tact, and must be able to cultivate respectful, strategic, and collaborative relationships with people from diverse backgrounds; both internally and externally

• Have an understanding and awareness of worker rights impacting SAG-AFTRA members
• Must maintain regular and acceptable attendance at such level as is determined at SAG-AFTRA’s sole discretion
• Must be available and willing to work extended hours per day or per week, including weekends and holidays, as SAG-AFTRA determines is necessary to meet its business needs
• Must be available and willing to travel to such locations and with such frequency as SAG-AFTRA determines is necessary or desirable to meet its business needs
MINIMUM QUALIFICATIONS:
Education
and/or Experience:
• High school degree required.
• Some college or an equivalent combination of education and experience preferred.

TESTING REQUIREMENTS:
• Basic skills: spelling, math, grammar and filing – passing score: 76%
• Microsoft Word and Excel tests (basic, intermediate and advanced) – passing score: 76%
• Typing test 50 WPM
