EXECUTIVE ASSISTANT/OFFICE MANAGER
SAG-AFTRA Foundation

Job Summary:
Reporting to the Executive Director and COO, the Executive Assistant/Office Manager will maintain a diverse portfolio of projects including supporting the ED and COO, general office management, scheduling, events, and other administrative functions.
The Executive Assistant/Office Manager is entrepreneurial, collaborative, and has strong organizational skills, excellent attention to detail, and manages deadlines. They ''manage up'' on the progress of assignments and take direction well. The ability to multi-task and work independently is essential.
This position is currently remote, but we are looking to return to the office following an office remodel in 2022/23. This position will be required to be in the office 5 days per week and will be instrumental in preparing for our re-opening.
Responsibilities:
Executive Office Duties: Provide full administrative support to ensure that the office of the Executive Director and Chief Operating Officer function in an efficient manner. Duties include generating letters and emails, responding to requests for information, preparing reports, organizing files, coordinating meetings & presentations, processing expense reimbursements, organizing calendars, travel & accommodations, and answering phones.
Board of Directors Liaison: Provide all logistical and document preparation support for meetings of the Board of Directors, Committees, affiliated Boards of Directors, and any governance task force or advisory bodies as directed by the ED (and other staff members who support Board committee meetings). Record and prepare minutes for Board and committee meetings. Prepare, maintain and archive resolutions and other corporate documents.
Events Support: Assist with executing fundraising and donor cultivation events including planning, day-of execution, and post-event follow-up.
Office Management: Manage office supplies inventory and place orders as necessary. Receive and sort incoming mail and deliveries and manage outgoing mail.
Children's Literacy Program- Storyline Online: Provide administrative support for the Storyline Online Program.
Qualifications:
-Attention to detail, strong interpersonal skills, and highly organized
-Excellent follow-through
-Advanced knowledge of G-Suite, Microsoft Office, Salesforce
-Excellent judgment and sharp business decision competence
-Good oral and written communication skills
-Able to work independently and manage multiple projects concurrently
-Takes pride in their work and appearance
-Candidates must have 3-5 years of proven experience assisting high-level executives in areas of administration, business operations, fundraising, and events
