Executive Assistant / Office Coordinator - Marketing Services Agency
SUMMARY
RQ Media Group, a boutique Marketing business is looking for outgoing, self-starters that are savvy, conscientious and entrepreneurial to work at our agency. We are currently seeking an EA/Office manager to join the team. Working directly for the two Co-founders, the EA will play a key role in the organization & day to day running of the office. The ideal candidate is a team player that brings passion and forward thinking to a fast growing team of professionals. A love and interest in pop culture is essential for the success of this position.
Job Duties:
Executive Assistant Responsibilities
Conserves executives' time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
Maintains executives' appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
Maintains client's confidence and protects operations by keeping information confidential.
Assists with digital & physical filing of all executive documents, including legal and financial
Some personal tasks will be required for the two Co-founders, including dry cleaning pickup, assistance with family and pets when Co-founders are traveling or when needed.
Office Coordinator Responsibilities
Manage all Expense and credit card reconciliations for the Senior Management Team
Assist with weekly invoicing for clients
Manage on-boarding for new staff, including paperwork, new equipment purchase and welcome program
Manages and schedules interns
Monitors and maintains office & kitchen supplies on a weekly basis
Maintains general office tidiness, organization, maintenance of plants and any maintenance needs of the office in general
Organize food and beverages for internal and external meetings
Research and keeping the team updated on pop culture trends
Assist with writing and creating presentation decks for the entire team
Assists at events and RQ Media activations
Assists with RQ Agency Social networks
KEY COMPETENCIES AND SKILLS
Office & Google Suite of products - Word, Excel, PowerPoint proficient
excellent organizational and time management skills
good written and spoken communication skills
accuracy and attention to detail
a calm and professional manner
excellent computer and administration skills
a flexible and adaptable approach to work
the ability to use your own initiative
tact and discretion, for dealing with confidential information
Good understanding of social media and PR
Has thorough knowledge of market research, trends, competitive information, literature
Understanding of budget management and financial planning
2 years of proven experience assisting in a busy office environment
Passion and love for pop culture a must
