Role Overview
The ideal candidate has a passion for YouTube, fashion, beauty, social media and an interest in project management (talent special projects and campaign management). They should be professional, flexible and detail-oriented. Must have the ability to work efficiently with the team in a fast-paced environment with high volume e-mail/workload.
In the first part of this job, this role will provide support to Talent Managers and their roster of managed talent. This role will heavily focus on the coordination of campaigns as well as the administrative tasks related to.
Additionally, this role will support the Project Leads in the day-to-day details of launching various Talent brands and special projects. In this part of the role, heavy project management skills are required as well as the administrative tasks related to. An entrepreneurial mindset is needed to succeed in this role.
This role is vital to the day-to-day operations of Rare Global, as you will liaise between talent and brands/agencies and third parties to ensure streamlined communications between all.
This is a hybrid position at our Beverly Hills, California location.
What You'll Do
- Provide administrative support to Talent Managers and talent roster including filing, calendar coordination and managing call sheets/notes.
- Arrange and coordinate meetings and travel for Talent Manager and/or talent
- Project manage and execute partnerships with talent from post-contract phase through campaign completion, including scheduling calls/shoot dates, coordinating content calendars, overseeing shipments and arranging preview and live dates
- Attend events/set visits with talent, if needed
- Create, update and maintain decks, presentations, case studies and progress sheets
- Daily input all deal terms and campaign details into CRM and accounting/tracker system
- Participate in weekly meetings and phone calls and take notes for record keeping
- Communicate daily with manufacturers, brand partners and third parties to aid in product development and production timelines
- Complete miscellaneous documents as needed for special projects
- Create decks as needed to communicate status of special projects
- Coordinate photoshoot and/or videoshoots as needed and provide day of support as production assistant
- Draft and/or update contracts, eventually assisting in the redline process
- Show interest in and willingness to understand rates and negotiations
- Work with the finance department and finance software to ensure invoices are submitted accurately and on time
- Eventually run point on smaller negotiations and proactive outreach
- Participate in company-wide initiatives and activities
- Participate in and contribute to annual summit, A Rare Day, hosted by our foundation, The Be Rare Foundation

Requirements
- 2-4 years of administrative assistant / project management experience in a related field (i.e. Talent Agency and/or Management, PR, Marketing and/or brand)
- Strong written, verbal, and visual presentation communication skills
- Excellent interpersonal skills; ability to interact with all personality types and behaviors; flexibility and adaptability
- Ability to work efficiently in a fast-paced environment with a high-volume email/workload
- Proactive, organized, and detail-oriented work style
- Ability to work against deadlines
- Passion for social media and brands, with interest in developing talent relationships
- Working knowledge of Adobe Acrobat, Adobe Illustrator, Microsoft Office, G Suite, Zoom, Mac, Canva, Photoshop, Slack and Notion
- Experienced using Instagram, YouTube, TikTok, Facebook, Snapchat, etc.
- Knowledge of Google Analytics and traffic analysis tools (ex. CreatorIQ, Social Rank)
- Must live in LA, valid CA license and car required.?
