Receptionist, Office Assistant
We are seeking an enthusiastic and hardworking front desk receptionist/office assistant for an entertainment & media company.
Strong leadership qualities, excellent phone and communication skills, multi-tasking and versatility are invaluable in this role. This individual is expected to show resourcefulness, exhibit accountability, and understand their role well enough to work independently and demonstrate initiative.
This a great entry-level position for someone interested in getting started in the entertainment industry!
Duties and Responsibilities:
- Maintain and ensure daily office upkeep and professional appearance.
- Welcomes visitors by greeting them, in person or over the telephone; answering or referring inquiries.
- Maintains security by following procedures; working with building security on visitor logbook and issuing visitor-parking validations.
- Manage incoming and outgoing mail and shipments
- Handle daily requests
- Manage relationships and partnerships with external vendors.
- Work closely with property management, phone & IT vendors to ensure successful daily operations.
- Manage business cell phone and email account
- Accountable for all floor needs - building work orders, IT & telecom moves and facilities updates alongside Office Manager
- Manage or facilitate requests for office equipment (i.e. printers, phones, computers, furniture, etc.)
- Keep inventory of supplies and food and make purchases as needed
- Ensure conference room is tidy and presentable and stocked with drinks and snacks at all times.
- Perform other clerical receptionist duties such as filing, binding, transcribing, faxing, etc.
Qualifications and Skills:
- Associate Degree or similar experience
- Has prior experience as receptionist / office assistant
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office suite including Word, Excel, and Outlook
- Excellent time management and problem solving skills
- Excellent written and verbal communication skills
- Able to contribute positively as part of a team, helping out with various tasks as require
