WHO WE ARE:
Production Club is an international, multidisciplinary team designing and producing music-based parties, shows, and experiences worldwide.
JOB SUMMARY:
The Production Coordinator reports to the Shows Director and is responsible for ensuring that every aspect of Shows/ Tours runs smoothly behind the scenes. In this role, the Production Coordinator will perform a range of administrative tasks such as providing support to supervisors, tracking expenses, booking travel, and taking meeting minutes to logistical tasks such as on-site setup and load outs, and oversight of installations at Shows / Tours.
DUTIES AND RESPONSIBILITIES:
-Schedule all meetings, conference calls, site visits, and research outings related to the Shows Team
-Participate and take notes on all show related production meetings and client calls
-Overall project research, organization, and support for Shows Director, Producers and Show Design team
-Source, coordinate and oversee fulfillment of orders with vendors including invoices, certificates of insurance and logistics
-Track and submit all necessary payment/payment authorizations to the Accounting team, for all show expenses, reconciles, and show
budgets
-Book and organize crew travel logistics for the tours, shows, and rehearsals, and provide/sync itineraries
-Maintain daily ''Show Scrum'' active doc/notes, and daily tasks and topics.
-Organize and maintain Shows Master Timeline and deliverables calendar, and file all project related documents and resources
-Assist in ordering and oversight of installation of custom-fabricated elements, and any related hardware/gear needs.
-Work with Producers, Technical Directors, and Production Managers on overall load-in scheduling and logistics for all shows/tours
-Onsite support for the Director, Production Managers, FOH Team, Creative Director and any Show Squad members
-Become a central source of ALL Shows/Tours related info, and continue to update if/when Shows team is out of town/on-site
QUALIFICATIONS:
-2-3 years professional experience in a similar role providing fundamental administrative support to a busy department is required
-Experience as a Production Coordinator or Production Manager at venues or festivals
-Must have interest in a career in the live events production space
-Skilled in budget management and tracking, vendor management, database management
-Highly flexible and adaptable to change
-Exceptional organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly
-Will need to demonstrate tenacity, curiosity and initiative when problem-solvingProven record of delivering the impossible is a plus
-Independent and motivated for personal and professional success
-Ability to travel as needed, up to 40% of the time
