Full Time Job
Key Responsibilities (Including, but not limited to):
• Maintain three demanding calendars; including appointment scheduling across multiple time zones
• Maintain up-to-date awareness of executives' obligations in order to proactively assist and/or anticipate needs, and help maintain deadlines
• Handle phones, scheduling calls and taking notes on appropriate conference calls
• Vet and address incoming general inquiries and direct potential clients to the proper team member(s)
• Support departmental meetings; respond to changes quickly, proactively alter priorities when necessary
• Read, interpret and write email correspondence as it relates to the executives' obligations
• Communicate professionally and clearly to high-level current and potential clients and executives
• Coordinate special projects as needed, including preparing materials for executives meetings, pitches, etc.
• Arrange all domestic and international travel plans for executives
• Schedule and manage meetings for any events, markets, festivals
• Process expense reports and audit back to corporate card statements in a timely manner
• Filing as needed for projects and relevant materials, keeping studio databases and archives up to date
• Maintain executive's database of contacts
• Keep finger on pulse in industry identifying emerging platforms and end points for content
Potential Growth Opportunities:
• Be proactive in finding potential distribution and servicing clients
• Relationships and opportunities with emerging and existing successful platforms in the OTT space
• Sign and work with incoming clients and proactively seek potential clients
Qualifications:
• Minimum of 1 year as an executive assistant supporting high level executives (preferably within the industry and more specifically one of the major Agencies or Management Companies) with a degree qualification or equivalent experience
• Understanding of and interest in film, television and the digital landscape
• Must be comfortable dealing with confidential materials and information with discretion
• Personable, proactive self-starter with the ability to prioritize, organize and establish administrative procedures and desire to grow
• Impeccable oral and written communication skills
• Familiarity with major digital platforms, production companies, and distribution companies worldwide
• Interest / knowledge in industry news, general ''finger on the pulse'' for current industry news
• Strong typing skills; MAC proficient; solid skills in Google Mail, Google Docs, Word, Excel, and PowerPoint
• Comfortable and confident working in different time zones and with various cultures
