The Pixar Creative Content team is the in-house documentary production crew for the animation studio. Our goal is to tell stories that represent the entire studio using the unique voice, high-quality standards, and authentic perspective that can only come from Pixar. While the core of our work revolves around Disney and Home Entertainment, we also service the internal studio as well as the needs of our Marketing and PR teams.
The primary function of the Creative Content Coordinator is to serve as the glue for the CC team by ensuring that team members understand all relevant information related to shoots and schedules, production timelines, logistics, and processes/systems. The success of this position relies on strong communication skills, organizational skills, time management, relationship building and maintenance, and a proven track record of balancing multiple projects at once. This role reports to the Creative Content Manager but also supports the team's Directors and Editors.
RESPONSIBILITIES:
• Coordinate the day-to-day filming and production-related meeting schedules of the Creative Content team
• Work with the team to assess needs and arrange film crews for capturing studio b-roll footage and interviews, production requests (such as weekly shot briefings), and external shoots
• Plan and draft schedules for film shoots and coordinate schedules for talent
• Assist with film equipment setups and breakdowns; act as production support on film shoots, as needed
• Work with internal and external crews to communicate details about shoots including but not limited to: location updates, reminders of requirements, list of questions for interviews, schedule changes, etc. with the goal of keeping shoots on-track
• Arrange grooming for interviews, work with talent managers and hair/makeup agents
• De-shine talent for b-roll and interviews
• Prepare and run teleprompter for shoots requiring a script, as needed
• Acquire the appropriate legal clearances and approvals for filming locations, interview subjects, and third-party footage
• Manage crew lists and ensure all information is recorded for future reference and credit needs
• Understand shoot-related costs relevant to the scope of their work and the impact to the budget in partnership with production leads
• Build and maintain relationships with a large number of production support staff across the studio, from Production Assistants to Producers
• Track major production landmarks and recording sessions with various animated film projects, and communicate all opportunities to CC Manager and Directors
• Regularly check in with CC team members regarding workload, meeting targets, outstanding needs, etc. and raise to team leadership as needed
• Work with teammates to identify a project management tool; use tool to track team's CC projects through all stages of production
• Occasionally act as script supervisor during talent recording sessions
• Maintain a detailed understanding of the animation production pipeline, show hierarchies, and role assignments
• Communicate weekly updates to all partners related to documentary opportunities with studio and voice talent
• Build supplemental assets including credits, lower thirds, Keynote presentations, project metadata, and relevant in-studio signage
• Assist with the tracking, research, and legal aspects at every stage of the filmmaking process from Development through Post Production
• Proactively identify ''holes'' or opportunities for improvement, and identify ways to address them to optimize team workflow
• Take notes during reviews and meetings as the need arises
• General administrative duties include creating spreadsheets, processing invoices, updating calendars, occasionally answering phones, etc.
• Participate in content brainstorms and reviews
• Help with event planning as needed
• QC master files, transcripts, subtitles, and Blu-rays as needed
QUALIFICATIONS:
• 2+ years' work experience in film production and/or project management, including a solid understanding of post-production process and terminology, a plus
• Strong administrative, time management and multitasking skills
• Proficiency with Mac/PC, including Microsoft Word and Excel; familiarity with Google Suite
• Must be a very strong written and verbal communicator with excellent follow-through
• Must be proficient at complex scheduling; ability to plan and execute fluid shooting days; excellent problem-solving skills
• Must be self-motivated, collaborative, execute with minimal guidance, and work well as part of a team
• Must be positive, optimistic, and flexible
• Ability to balance big-picture planning while focusing on day-to-day details
• Interest in the documentary genre and/or experience in documentary filmmaking a plus
• Photoshop/graphics experience a plus
OTHER FACTORS:
• Ability to lift up to 40 lbs.
