Job Summary
The Executive Assistant will provide one-on-one administrative support to the EVP, Sales & Business Development, optimizing effectiveness by coordinating daily schedules, supporting communication efforts, managing information workflow, and ensuring preparedness for internal and external meetings.
The Executive Assistant will interface with fans and partners of the Pirates on behalf of the EVP. He or she will coordinate meetings, hospitality, and events on behalf of the Sales and Business Development departments. The Executive Assistant will also serve as a liaison to the Sales & Business Development Leadership Team and run point on all client trips supporting all client entertainment.
The Executive Assistant works independently on projects from conception to completion and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. He or she must enjoy interacting on an executive level, providing creative solutions and working within a fast-paced, results-driven, and community-oriented environment.
Responsibilities:
• Maintain EVP's calendar by planning and scheduling calls, meetings, conferences, events and travel, balancing priorities based on current objectives.
• Plan, coordinate, and ensure the EVP's schedule is up-to-date and appropriately organized.
• Work closely and effectively with the EVP and other members of the Sales & Business Development Leadership Team to keep them well informed of upcoming commitments and responsibilities, staying one step ahead and following up appropriately.
• Provide a bridge for smooth communication and information flow between the EVP and other members of the leadership team, maintaining credibility, trust, and rapport with them.
• Handle confidential matters and honor the information by keeping it close.
• Support other members of Sales & Business Development Leadership Team on special projects by preparing analysis, reports, presentations, and other materials with them.
• Prioritize conflicting needs and handles matters expeditiously and proactively, following through on projects to successful completion, often with deadline pressures.
• Welcome guests by greeting them, in person or on the telephone, answering or directing inquiries.
• Plan for, coordinate, and assist with the execution of hospitality for games and events hosted by the Sales & Business Development Team.
• Support the EVP and other members of the Sales & Business Development leadership team by preparing for meetings, taking notes, and assisting with special projects when needed.
• Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies.
• Review, process and submit for approval all expenses incurred by the EVP.
• All other duties as assigned by the EVP.
