Overview
The Executive Assistant (EA) to the Co-Chairman of Paramount Pictures provides high-level administrative and strategic support, which includes complex calendar management, organizing global travel, preparing executive meetings, and acting as a critical communication hub. They also assist with project-related tasks like tracking project statuses, preparing documents, conducting research, reading scripts, and managing the flow of information between internal teams and external partners. Key success factors include advanced time management, strong communication skills, problem-solving, discretion, and the ability to work collaboratively in fast-paced, high-stakes environments.
Responsibilities
• Manage complex calendars, including scheduling meetings, appointments, and travel arrangements across multiple time zones.
• Prepare and coordinate logistics and materials for meetings, events, and off sites
• Screen and prioritize incoming and outgoing communications (emails, calls, mail) and respond or delegate as appropriate.
• Ability to work independently and anticipate needs in a fast-paced, ever-changing environment.
• Track script and material submissions and maintain internal documentation.
• Book and coordinate complex global travel (private and commercial).
• Conduct research and prepare executive summaries, briefs, or background materials for key initiatives and meetings.
• Manage executives expense reports.
• Manage a high volume phone sheet of incoming and outgoing calls.
• Serve as the administrative liaison with internal collaborators and industry partners, maintaining professionalism and confidentiality.
• Exercise sound judgment in all communications and decision-making.
• Ensure the executive’s office runs smoothly and is equipped for daily operations.
• Liaise with Production, Post, IT, HR, Legal, and other corporate functions as needed.
• Manage special projects and other duties as assigned.
Basic Qualifications
• Bachelor’s degree or equivalent experience required.
• 3 years of experience supporting senior executives, ideally at a studio, agency, or production company.
• High level understanding of the entertainment industry and its players.
• Proven ability to manage multiple tasks and priorities with excellent attention to detail.
• Advanced proficiency with Microsoft Office Suite, calendar management tools, and virtual collaboration platforms (e.g., Teams, Zoom).
• High degree of professionalism, integrity, and discretion.
• Experience in managing confidential information and sensitive communications.
