Report to two Vice Presidents and a Senior Publicist; the VPs divide the film slate in the NY office; the Senior Publicist works on all titles.
Responsibilities:
Administrative duties:
• Schedule conference calls/meetings/Zooms
• Maintain and update all office databases including master national press list, critics lists, screening invite lists, TV hiatus calendars, film slate and team assignments
• Magazine/newspaper subscriptions
• Arrange travel/compile documentation for the three executives
Duties shared with other executive assistant:
• Booking talent and filmmaker hotels for travel exclusive to New York
• Lead all aspects of the completion and submission of COVID CAT team short forms
• Department billing using ARIBA system for PR processing, Vendor set up, Vendor communication/invoicing
• Coordinate/handle all-media screenings logistics (with assistance from each team on the film; i.e. handle press lists, inviting, reserved seats, ticketing)
• Work on NY press days/junkets
• Assist on all NY premiere red carpets with setup and logistics (with the publicist to oversee)
• Ability to work overtime (including nights and weekends)
• Special projects as needed within a campaign
Publicity Assistant duties:
• Compile, monitor and send out RSVPs for press screenings
• Assist in covering screenings (check-in/end/getting reactions)
• Start screening reports (input reactions, screening attendees etc.) and send out
• Start and update all New York publicity talent schedules under the direction of the VPs/Senior Publicist (including car/travel info)
• Book talent/filmmaker cars, handle the organization of car invoices with the finance department.
• Participate in team brainstorming sessions; take notes and contribute
• Handle press mailings (pulling together addresses/shipping items)
• Receives confidential information and materials with the upmost discretion and company privacy
• Filmmaker/press/project research documents in coordination with the LA team and interns
• Arrange Talent interviews via Zoom, listen in, take notes & transcribe/report
• Covers awards screenings and works with the LA awards team on reports
• Works with Paramount’s creative departments procuring publicity materials (film stills, TV clips, trailers, etc)
Qualifications
/skills:
• Ideal candidate would have 2 years of relative PR work experience
• Basic PR knowledge â€'' press breaks, status and screening reports, communicating with press/talent
• Self-motivated teammate with a positive attitude who wants to learn and can multitask and perform with a calm manner under tight deadlines in a very fast-paced environment
• Strong time management, organizational and communication skills; high attention to detail and follow through
• Excellent written, verbal, and interpersonal skills with the ability to collaborate with executives, staff, talent and agencies
• A creative mind who is social media proficient and has a desire to apply these skills in a strategic way
• A film fan who is excited for the opportunity to share their knowledge and love of cinema both internally with staff and when dealing with press
