Position:
Executive Assistant position-responsible for supporting the SVP in Worldwide Theatrical Marketing Partnerships
Responsibilities
to include, but not limited to:
• Handle SVP's daily calendar and schedules/coordinate meetings and appointments
• Answer phones, print materials, route incoming and outgoing mail including arranging international shipments
• Arrange meetings or conferences by securing conference rooms, issuing meeting requests or invitations and preparing handouts, agendas, and recaps for meetings as required
• Perform administrative duties such as filing, typing and organizing documents
• Arrange detailed international travel plans and itineraries and compile travel documentation and expense reports
• Prepare reports and presentations in PowerPoint, Excel, and MS Word, and keep internal documents up to date (i.e., promotional timelines, status reports, etc.)
• Liaise with internal departments and external entities as needed
• Light research duties
• Handle merchandise inventory and storages
Basic qualifications/skills:
• Bachelor's Degree
• 2 years equivalent work experience, preferably with entertainment and/or international background
• Knowledge of foreign languages is a major plus
Additional Qualifications:
• Excellent written, verbal, and interpersonal skills with the ability to collaborate with staff, internal and external contacts and senior management
• Familiar with a variety of industry concepts and theatrical properties
• Excellent organizational skills and attention to detail
• Ability to prioritise, and manage time efficiently to meet deadlines
• Self-motivated, pro-active, resourceful, solutions oriented
• Ability to work well and be flexible in various challenging environments and comfortable in fast paced situations
• Driven self-starter who can identify and troubleshoot supervisor needs
• Highly Proficient with MS software including Word, Excel & PowerPoint, Zoom. Familiarity with other video/audio call software -Google Meet, Microsoft Teams, Blue Jeans
• Keen interest in film, brand marketing and deal-making a plus
