Job Summary
This position will provide executive support to the Chief Operating Officer, under the guidance of the Office Coordinator. Candidate will be responsible for managing the fast-paced and highly visible executive office.
Responsibilities
to include, but not limited to:
• Work in office 3 â€'' 5 days a week
• Handle heavy calendar; ensure prompt attendance to all commitments while being able to forecast and manage any conflicts
• Answer, screen and track a high volume of phone calls and email, taking action when appropriate and following up
• Prepare and coordinate meeting logistics, such as attendees, setting cross-departmental sessions, agendas and other key factors
• Arrange travel, itineraries and compile documents for travel-related meetings
• Develop and maintain contact databases, distribution lists, mailing lists and filing systems
• Manage and track expense reports and receipts; reconcile corporate credit card accounts regularly
• Greet scheduled visitors and direct to appropriate area or person
• Arrange drive-ons, reservations and other misc. meeting details
• Acts as custodian of corporate documents and records
• Composes and prepares confidential correspondence, reports, and other documents such as expense reports
• Orders office/kitchen supplies and keeps department supply area well stocked
Basic qualifications:
• Minimum 2 years related experience in a Studio or Production Company
• Proficiency with Outlook, Word, Excel and internet software
• Familiar with a variety of industry concepts, practices, and procedures
Desired skills:
• Excellent written, verbal, and interpersonal skills
• Organized and detail oriented with experience managing multiple high priority tasks
• Ability to represent the COO and Company in a professional yet approachable manner
• Able to effectively interface with staff, other administrators, internal and external customers and senior management, both in person and on the phone
• Strong organization and follow-up skills. Ability to attend to details while maintaining a big picture orientation
• Ability to coordinate multiple tasks, appropriately prioritize work and proactively manage time in order to remain focused and flexible in a fluid, fast-paced environment
• Ability to work independently with minimal supervision
• Excellent decision-making and judgment skills
