Executive Assistant III
This position reports to two teams – both teams include a Vice President and a Senior Publicist; the teams divide the slate in the NY office.
• Answer phones for the teams (4 people total) schedule conference calls/meetings
• Compile, monitor and send out RSVPs for screenings
• Start and send out all screening reports; input reactions, screening attendees etc.
• Start and update all New York publicity schedules under the direction of the senior publicists (including car/travel info)
• Assist in covering screenings (check-in/end/getting reactions)
• Book talent/filmmaker cars, handle the organization of car invoices with the finance department.
• Maintain and update all office databases including master national press list , critics lists, screening invite lists etc.
• Organize/handle all-media screenings logistics (with assistance from each team on the film; i.e. handle lists, reserved seats, ticketing)
• Assist on all NY premiere red carpets with setup and logistics (with the publicist to oversee); work on NY press days/junkets
• Participate in team brainstorming sessions; take notes and contribute
• Handle press mailings (pulling together addresses/shipping items)
• Receives confidential information and materials with the upmost discretion and company privacy
• Filmmaker/press/project research documents in coordination with the LA team and interns
• Ability to work overtime (including nights and weekends)
• Covers awards screenings and works with the LA awards team on reports
• Arrange travel for teams in addition to compiling travel documentation
• Works with Paramount’s creative departments procuring publicity materials (film stills, tv clips, trailers, etc)
Basic Qualifications
• Basic PR knowledge – press breaks, status and screening reports, communicating with press
• Strong time management and organizational skills; high attention to detail and follow through
• A creative mind who is social media proficient and has a desire to apply these skills in a strategic way
• A team player who wants to learn all tasks, grow and goes above and beyond what is expected
• Self-motivated with a positive attitude in an extremely fast-paced environment
• Excellent written, verbal, and interpersonal skills with the ability to interface with executives, staff and agencies
• Ability to multitask and perform under tight deadlines with a calm manner
