Summary Description:
An Office Assistant is responsible for performing a variety of tasks to support daily operations to the entire office, including managing office communications and facilitating key tasks and procedures.
Roles and Responsibilities:
- Manage incoming and outgoing correspondence, including sorting and delivering incoming mail and packages and collecting and sending outgoing mail and packages
- Monitor office inventory and order supplies as needed
- Maintain and manage files and records both onsite and offsite
- Greet clients and visitors to the office, ensuring guests are comfortable and are connected with the right office personnel
- Oversee building system management and suite maintenance
- Submit work orders and scheduling repairs for general office space and equipment
- Order repairs for office equipment and maintenance, connecting with and escorting vendors
- Assistant desk coverage as necessary
- Put clients on tape as necessary
- Take on additional responsibilities as necessary
Qualifications and Requirements:
- Knowledge of Microsoft Office applications
- Possess excellent verbal and written communication skills with colleagues at every level
- Position requires demonstrated poise, tact and confidentiality
- Accomplished ability to multi-task and follow through on assignments
- Impeccable attention to detail, excellent organizational, planning, prioritizing and time management skills
