SUMMARY DESCRIPTION
The Brand Partnerships Assistant is responsible for performing a variety of administrative tasks to provide support to the agent in all client and internal matters. The role provides the Assistant a broad understanding of the entertainment industry in general (as well as some of the advertising industry) and the representation business in particular.
ROLES AND RESPONSIBILITIES
Project management for active deals
Roll calls for agents and screen all incoming calls
Maintain call log and take detailed messages/notes
Set and confirm meetings for agent
Generate submissions for castings and potential deals
Interact with Accounting department to track money due to clients
Maintain and update databases and tracking documents
Create and maintain booking reports and contracts
Prepare Expense Reports and Travel Requisition forms
Maintain office filing
Update client promotional materials
Log client offers and prep agency-issued agreements
Manage deal fulfillment as necessary
Take on additional tasks and responsibilities as assigned
QUALIFICATIONS AND REQUIREMENTS
Impeccable communication skills (oral, interpersonal, and written)
Ability to prioritize and meet deadlines
Demonstrated ability to troubleshoot and to anticipate issues that may arise proactively and quickly determine next steps
Meticulous attention to detail
Must be able to maintain composure in a fast-paced working environment
Ability to interact with employees at all levels of the company, as well as, external clients
Entertainment Industry experience is a plus
