PROJECT COORDINATOR
LOS ANGELES, CA - HYBRID
The Project Coordinator position (PC) is responsible for the successful day-to-day operations of the active projects within OCA. The PC will work closely with the Creative Directors (CDs) as well as OCA management to ensure that all assigned projects are kept on-track and within budget so they can successfully be delivered in a timely manner to the client. This includes creating and managing the work timetables of relevant employees, setting deadlines, communicating with company executives as well as clients about the state of each assigned project, ensuring that each project stays on track and on budget and adjusting if necessary to meet new requirements. While not mandatory, previous experience in the entertainment business and/or creative world is a big plus.

Project Coordinator Duties:
-Responsible for the timely transition of information regarding the project to the relevant staff (including CDs), demonstrating a clear grasp of each assigned project
-Prepare budget and review with company management; updates budget if and as necessary
-Develop a project schedule using the knowledge and resources of the company and will update each schedule at least weekly; or daily if necessary (depending on overall project timeline)
-Share project schedule with relevant staff, including CD and supervising management
-Be in contact with CDs on a daily basis for current projects; touch base on a weekly basis with CDs not involved on a current project
-Help sustain positive mindset among staff on each project including the goal of completion on time. Offers or obtains needed service(s) for relevant staff with respect to what might be needed to meet project goals
-Manages project progress and adapts work as required. Updates budget if and as necessary and advises management immediately
-Coordinates staff and internal resources
-Identifies the ''pain points'' and tries to assist wherever needed; immediately reports and escalates to management if there is need for management input
-Creates and maintains comprehensive project documentation including vendor invoices, W9s, and receipts
-Coordinates with billing staff to ensure vendors are paid timely
-Conduct project review and create reports for executive staff
-Optimize and improve processes and the overall approach where necessary
-Utilize and continually develop leadership skills
Additional Responsibilities and Duties:
-Client greeting and client relations
-Attend and contribute towards weekly forward planning meetings
-Respect the confidentiality regarding client information contained in any rosters, booking systems and within the company
-Undertake any other relevant administrative tasks/ projects to ensure the smooth running of the facility such as correspondence and calendaring
-Other duties as assigned
Qualifications and Skills:
-BA/BS in related field or high school diploma and equivalent work experience
-2 + years' experience in the music industry or related field
-Working knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook) for MAC
-Proficient skills in basic web-page maintenance and all forms of online social networking (Facebook, Twitter, Instagram, etc) a plus
-Spanish speaking a plus but not essential
General Qualifications:
-Must be at least 18 years of age
-Must be eligible to work in the United States
-Must be able to pass a background check
-Excellent oral and written communication skills
