Full Time Job
The Marketing Operations Manager is a member of the Marketing, Branding, and Communications (MBC) department, and is responsible for managing day-to-day operations, executing marketing projects from development to launch, and supervising use of MBC resources. The Operations Manager will create and maintain overall marketing project plans including tracking and managing scheduling, administrative, and resource needs. This position reports to the Director of Marketing.
The role coordinates with leaders in MBC and across NPR to prioritize work and resource usage to ensure that projects are prioritized and that teams are able to perform at a consistently high level. The role works alongside subject matter experts to provide leadership with clear, timely information to support decision-making.
The ideal candidate will be a self-starter with strong analytical, communication, and team-building skills who can function with the trust and respect of colleagues at varying levels of responsibility across the organization. This person must be someone that thrives in a fast paced, results-oriented environment, yet is comfortable with ambiguity. This person should be a highly-motivated and organized individual who can manage simultaneous projects, programs, and deliverables, efficiently and effectively.
Essential Duties
• Prioritize work among teams within the Marketing department in accordance with organizational priorities and initiatives
• Coordinate internal and external resources (including third party vendors) for effective project execution
• Oversee MBC division conformity to budget and advise leadership of variances from plan, monthly and quarterly; prepare financial reports, business narratives, and presentations as required
• Develop written, detailed project plans with supporting documentation to track progress, including:
• Specifying measurements for performance by using the appropriate systems, tools and processes;
• Provide regular project status updates and escalate issues to relevant stakeholders and managers as needed; and
• Manage the relationships between the customer and relevant stakeholders
• Responsible for submitting contract requests to NPR’s Legal team, ensuring that contracts have the appropriate information, rights, and usage agreements, and are fully executed prior to the start of work
• Manage invoice process, ensuring invoices are processed and paid on time as well as departmental purchasing cards
• Manage templates, checklists, tracking software, and other tools to ensure consistent execution of initiatives
• Coordinate creative briefs including key marketing messages, working with internal clients to assess project needs, objectives, audience, and competitors; and prepare briefing materials and schedules for key leaders and stakeholders
• Ensure all projects are delivered on-time, within scope and budget
• Communicate clearly, collaborate, and motivate the project team to identify and achieve shared goals
• Provide weekly readouts of projects’ status, forthcoming deliverables and milestones. Responsible for ensuring projects elements are completed on time
• Assist in obtaining visual and copy assets from clients to complete Creative and Account deliverables
• Develop business process improvements into briefs with accompanying project plans for management through completion
Qualifications:
Education: Bachelor’s degree in Business Administration, Marketing, or related field.
Required Skills:
• 5 years of experience in a project management role
• Outstanding collaboration skills with a proven ability to work cross-functionally and gain the respect and support of internal and external clients
• Strong listening, writing, and speaking skills
• Creative thinker and doer with a passion for marketing, advertising, and design
• Must be self-motivated, resourceful, and proactive
• Proven ability to anticipate needs and problem solve
• Ability to foster an inclusive, collaborative work environment that values the contributions and experiences of all project participants
• Experience with project management and collaboration tools
• A flexible attitude with the ability to keep teams calm and focused during times of stress
• Demonstrated ability to focus collaborative efforts on the achievement of agreed outcomes with finite timeframes and budgets
Preferred Skills:
• Experience in or with a media organization and/or public media
