The Executive Assistant will support 2 VPs of Talent at Nickelodeon in Burbank, CA.
Responsibilities
will include:
• Service the administrative needs of two VPs, including phones, mail, correspondence, and general organization
• Manage heavy scheduling of meetings and coordinate all logistics i.e. timely starts, VC tech needs, and distribution of appropriate materials in advance
• Manage executive’s calendars for meetings to assure no conflicts
• Arrange frequent travel with Viacom’s travel agency; prepare itineraries and manage all logistics
• Answer and roll phone calls and maintain detailed call sheets
• Interface regularly with senior executives and their assistants, providing information as needed
• Provide administrative support on show production schedules, network tent pole events and logistics, and other initiatives
• Update and distribute weekly calendars and status reports
• Assist in development of presentation and document templates using appropriate software applications
• Assist other team members in an administrative capacity, i.e., creating travel itineraries for talent, scheduling dept meetings, maintaining trackers and calendars, and more as needed
• Maintain an overall knowledge of all talent schedules, events, shoots, promos and production schedules across all lines of business
• Reconcile and submit T&E and PCard expenses

• Minimum 2 years related experience
• Proficiency with Outlook, Word, Excel, Powerpoint, and internet software
• Familiar with a variety of industry concepts, practices, and procedures

• Active self-starter with ability to anticipate needs and take initiative is imperative
• Excellent written, verbal, and interpersonal skills with the ability to interface with staff, other administrators, internal and external contacts and talent representation, and senior management within the company
• Organization and detail oriented mindset with the ability to manage multiple high priorities, with the ability to attend to details while maintaining a big picture orientation
• Ability to coordinate multiple tasks, appropriately prioritize work and proactively manage time in order to remain focused and flexible in a fluid, fast-paced environment
• Excellent decision-making and judgment skills
