Full Time Job
The Public Affairs department is looking for a Department Assistant to provide day-to-day clerical and administrative support for team members, with emphasis on the EVP, SVP, VP and Directors.
Specific duties:
• Support SVP and VP in executive travel, scheduling and meeting assistance
• Provide back up to the executive assistant for the EVP
• Provide logistical support required for key meetings involving the SVP including but not limited to preparation materials, scheduling, video-conferencing, room-set up, and catering
• Support the SVP and Director of Public Affairs on administrative matters including but not limited to the office space for the company
• Also as needed, supports the Director of Public Affairs on weekly exec meetings, special events and employee projects to ensure all paperwork, presentations, technical and video needs of the meetings run smoothly
• Maintain the effective operations of the day-to-day office
• Invoicing and tracking expenses on the Market
• Support the SVP’s office with phone coverage and other projects related to the SVP’s office
• Maintain office supplies
• Support staff in department-wide events, conferences, partner meetings and other priority projects requiring “all hands on deck”
Basic Qualifications
• High performer, attention to detail, thorough Admin who can juggle, prioritize and interact with professional excellence and discretion
• Experience in supporting multi-member teams, such as in agencies or in law firms
• 1-2 yrs administrative experience
Additional Qualifications
• Proficiency in all aspects of administrative programs, including word, Powerpoint, excel, travel sites and invoicing
• Self-starter, eager to learn, and dedicated to office management
• Excellent recommendations
