Benefits/Payroll Specialist
As a member of the Human Resources team, the HR Benefits & Payroll Specialist is responsible for directing and planning the day-to-day operations of the following:
administration of benefits and 401k programs, payroll processing, leave of absence administration, and ongoing maintenance of the HR & Payroll systems. Superior multi-tasking and attention to detail skills are a must. Professional judgment and confidentiality must be displayed at all times since much of the work will need to remain private and confidential.
Responsibilities
Process freelance payroll weekly with accuracy.
Process staff payroll bi-weekly with accuracy.
Reviews payroll to ensure proper approvals have been obtained and employees are paid accurately.
Track and account for all voluntary deduction (i.e. medical, 401K, FSA, HSA etc…)
Resolve payroll discrepancies by collecting and analyzing information.
Maintain payroll operations by creating and training policies and procedures and the reporting of any needed changes to payroll staff and management.
Maintain confidential employee information and documents, and protect payroll operation by keeping information confidential.
Communicate verbally and in writing, as necessary, to fiscal team members, vendors, agency staff, benefit providers, auditors, etc..
Process, maintain and monitor COBRA billings, receivables, correspondence and reconciliations.
Responsible for the 401k administration which includes but not limited to completing enrollments, contribution changes, loan activity, roll overs and distributions, and reporting for audit purposes. Maintains relationship with 401k account liaisons to address processing issues.
Primary point of contact for payroll, benefits, and leave of absence questions
Resolves straightforward benefit and payroll discrepancies.
Escalates issues and concerns to Director of HR and/or Finance as appropriate.
Responsible for filing wage garnishment orders and responding to all requests for employment and wage verification.
Knowledge, Skills and Abilities:
Ability to problem solve and reconcile accounts.
Established proficiency with Microsoft Office applications, including Excel.
Must have experience, abilities and skills to setup and maintain spreadsheets and troubleshoot spreadsheet issues.
Bachelor's Degree preferred
Minimum 3 years related payroll and benefits experience preferred
Knowledge of computer software and systems
Strong written and verbal communication skills
Strong planning and organizational skills
Attendance/Punctuality - consistently at work and on time
Ability to work with people and work as part of a team
Must be able to work in an environment in which constant deadlines exist
Enrollments
• Work with brokers and vendors to process enrollment elections and changes.
• Web portal and change file enrollments
Additional Responsibilities:
• Census and eligibility reporting for brokers
• Bill reconciliation corrections
• Performs other duties as assigned.
