Full Time Paid Internship
Responsibilities
We are currently looking to hire an Admin Trainee to support our Iberian team within the recently created Consumer Products Iberia division, based in Madrid.
JOB OVERVIEW
Support the Iberian Team (5 people GM) in all administrative tasks, such as (but not limited to):
• Agendas management (meetings, trips, deadlines, meeting rooms management).
• Organizing travel and accommodation arrangements for the department.
• Expense reports and tracking of expenses against Budget.
• Creating and setting up new vendor accounts, raise purchase orders (using SAP) and coding invoices for payment, following through as required to ensure timely payment. Track against Budget.
• Facilities duties, arranging office supplies, couriers & post as needed.
• Management of the Partners Data Base & delivery of Newsletters, invitations, etc... Maintaining databases, spreadsheets and tracking documents liaising internally and externally where required
• Liaise with counterparts in other divisions locally and represent CP in all relevant forums.
• Organize and keep up to date shared files.
• Regularly liaising with International consumer products teams to collate and track relevant info
• Assist in the preparation of targeted pitch presentations for potential licensees, partners and retailers
• Distributing licensee lists, brand presentations and other sales materials where required.
Support Category Management in:
• Contract management (upload into systems, follow up).
• Assist in Forecasts process (collecting information, uploading into systems) when required.
• Assist in Invoicing/Accounting issues when required.
• Collaboration in the reporting to HO
• Assist in internal presentations and external pitches when required.

REQUIREMENTS
• University Degree in Business Administration or similar.
• The studies must have been finished less than 5 years ago and the candidate must be less than 30 years old.
• Strong PC skills with Intermediate to advanced knowledge of Excel and PowerPoint. Keynote and Photoshop would be appreciated.
• Very fluent in English. Portuguese would be appreciated.
