Coordinator, Events (Employee Engagement Communications)
Responsibilities
Company Events:
• Alongside the Events and Internal Communications team, partner with Human Resources, Production, Facilities and various departments to coordinate the planning, procurement of supplies, setup, breakdown and execution of all studio events including: Employee Mixers, Premiere Parties, Wrap Parties, Take Our Daughters and Sons to Work Day, Friends and Family Parties, Appreciation Events, Holiday Events, Company Town Halls, etc.
• Maintain the database of well researched venues, vendors, activations, and performers for all TeamWorks events.
• Assist with creation and placement of décor, signage, playlists, catering, equipment and furnishings at all applicable studio events
• Assist with employee communications related to upcoming events (design invitations, fliers, manage digital signage, help with weekly events calendar etc.)
• Support volunteer programs and drives (i.e. food drives, charity drives, elementary school partnerships, hospital visits, etc.)
• Partner with team to capture and prepare culture-related social media posts (community engagement)
• Help with the distribution and ordering of swag and Company gifts (i.e. DVDs, Posters, Holiday Gifts, Desk Drops, etc.)
• Manage and maintain TeamWorks event supplies, swag reserves, and storage areas.
• Track and administer Employee Anniversary, Birthday Gifts, Baby Bundles, and In-Kind Donations
• Book meetings and provide administrative support to events and communications team including printing documents, filing, storage organization, visitor requests, Facilities and A/V requests, processing expense reports and credit card statements, etc.
• Customer Service – assist employees with general inquiries and refer them to appropriate resources when needed and manage team's email inbox
• Assist in hiring and managing department interns
Qualifications
/Requirements
• 1-3 Years Events, HR or fast paced Production environment experience preferred
• Demonstrable experience as well as a keen interest in planning events to build and maintain company culture and/or professional and social clubs
• Demonstrable design skills (proficiency in Photoshop and/or Illustrator is required)
• Strong customer service and communication skills
• Strong creative brainstorming and problem solving skills
• Has some experience writing, editing, and crafting content for social media platforms such as Instagram, Facebook and Twitter (knowledge of SproutSocial a plus but not required)
• Detail oriented and ability to multitask
• Proactive problem solver with excellent time management, organization, judgment and prioritization skills
• Competency in Google docs and calendaring system, MS Word, Excel and PowerPoint
• Knowledge of animation studio production pipeline, animation hardware and software is helpful, but not required
• Must be able to attend and execute occasional events during evening or weekend hours
• Must maintain a valid CA Driver's License at all times
