JOB DESCRIPTION
The Production Department Coordinator is responsible for providing administrative and coordinator support to NGC's DC Production unit. This position supports department executives to ensure accurate project tracking, clear communication, and efficient work processes. Responsibilities include admin work for the Production team, tracking projects in their various stages of production, distributing reports, and running meetings between offices.
Responsibilities
• Execute administrative responsibilities for the DC Production Team including the VP of Production, VP of Specials as needed and Executive Producers. Organize travel logistics, coordinate conference calls and meetings, create and submit expenses, maintain multiple calendars and schedules. Prepare written and visual presentations for executives and have the ability to quickly adjust priorities to provide critical materials in a timely, accurate and creative manner. Constantly strive to improve overall workflow processes within the team.
• Screen various cuts of shows that come in on a daily and weekly basis. Consolidate materials of high-profile shows for upfronts, board presentations, and various screenings. Work closely with the Production Services Department on special projects. Serve as a production assistant for local shoots as assigned. Assist staff at local conferences, events, and screenings such as Realscreen.
• Coordinate all production department meetings, both internally and with outside production companies. Organize and distribute agendas and reports for these meetings. Work with New York and London Offices for set up and to ensure everything runs smoothly. Liaise with other departments and production companies to make sure they have the materials they need to support our programs.
• Generate and distribute Project Notification Forms (PNFs) and enter show information into VPS and Filemaker Pro databases. Assist with completing the weekly priorities report. Keep all documents, reports, and databases up to date with weekly changes.
• Serve as a resource for department IT related issues. Provide training and initial set up for new employees, temps, and interns.
• Additional skills that benefit the team and the department: proficient in Word, Excel, Filemaker Pro, PowerPoint, and Outlook. Experience with FinalCut Pro or other editing software, and Photoshop, a plus. Excellent oral and written communication skills and professional demeanor. Incredibly task and deadline oriented and able to juggle multiple pressing assignments simultaneously. Knowledge of production and post production process, and able to make editorial suggestions that improve quality of programming. Creative, unflappable under pressure, and has a ''whatever it takes'' attitude.
Qualifications
• Bachelor's degree required. Minimum of one year specific in a TV environment preferred. Familiarity with production and post-production.
• Strong verbal and written communication skills required.
• Must have strong analytical skills with the ability to manage multiple projects and work nimbly within spreadsheets and databases.
• Knowledge of Microsoft Office applications, including Word, Excel, PowerPoint, Outlook and Explorer are needed. Knowledgeable on Final Cut Pro or other editing software.
• Demonstrated skill in developing and maintaining effective business relationships is necessary. Good organizational skills and attention to detail are required. The ability to multitask and work effectively under changing priorities and daily time constraints is required.
