JOB DESCRIPTION
The Executive Assistant provides administrative support for the EVP Global Communications & Marketing Strategy including scheduling, travel arrangements, and compiling necessary materials for meetings in advance. Must maintain confidential information and documents. The Executive Assistant will also serve as office manager overseeing Communications budget, monitoring expenses, processing invoices, coordinating contracts with vendors, onboarding new employees and liaising with all other team members on behalf of the EVP. Finally, the Executive Assistant will also help the director of awards with awards submissions and other support.
Responsibilities:
• Manage calendar and organize meetings, acting as the main point of contact for anyone needing to reach or meet with the Chief Communications Officer. Also arrange travel for EVP as needed.
• Assist in the preparation for meetings by compiling necessary materials in advance. Maintain confidentiality of documents and information.
• Oversee budget, monitoring departmental expenditures, process invoices, and coordinate contracts with vendors.
• Onboard new employees in Communications Dept.
• Handle special projects assigned by EVP while prioritizing conflicting needs.
• Awards support.
Requirements:
• Bachelor's degree is required.
• Two years of budget experience.
• Fluent in English.
• Experience handling budgets.
• Skilled in the use of Microsoft Excel, Word and Outlook.
• Excellent verbal and written skills with the ability to build rapport quickly and engage collaboratively with individuals at all levels.
