We are currently seeking an Executive Receptionist capable of providing the highest level of support and service. In this highly visible role, you will engage with a diverse range of visitors and guests including senior executives, high profile professionals and industry talent both in person and via telephone.
The position reports to the Supervisor, Reception and is overtime pay eligible.
Principal Responsibilities
As a successful candidate in this role, you will be able to:
• Provide polished and professional customer service to all guests.
• Greet all guests and announce their arrival to the proper party.
• Answer incoming calls promptly and courteously, manage call-back lists and respond to callers with routine requests.
• Coordinate and maintain Executive’s calendar in Microsoft Outlook when requested.
• Schedule, confirm and modify all conference/board room reservation requests.
• Follow reception opening and closing procedures including, but not limited to: collection of after-hours package deliveries, opening and closing down of all machines and equipment, maintaining a clean and neat reception/lobby area and reception desk.
• Adhere to detailed instruction guide of essential responsibilities for Receptionists.
• Mentor and train other receptionists to provide proper level of service.
• Use the Viacom systems, training and resources available to learn and keep current about the Company as well as to develop additional skills.
Basic Qualifications
• High school diploma or equivalent required; Bachelor’s degree preferred.
• Professional appearance and demeanor must be maintained at all times.
• Flexibility to provide coverage for other Receptionists with varied start/end times.
Additional Qualifications
• Excellent interpersonal, verbal and written communication skills.
• Able to prioritize and remain focused in a fast-paced and demanding environment.
• Excellent computer skills with an emphasis in Cisco Switchboard, Microsoft Outlook, Word, Excel.
• Demonstrates good judgment on what needs to remain confidential while acting and communicating with discretion.
• A proven ability to work under pressure and pleasantly interact with individuals with a wide range of needs, personalities and expectations.
• Excellent follow-up.
• 5 years work experience, preferably in a receptionist, concierge or a customer service capacity. Experience in the corporate environment a plus.
