Full Time Job
The MTV/VH1/CMT/LOGO Social Impact department is looking for an Executive Assistant who will provide administrative support and manage the day-to-day operations for the SVP. This person will have frequent contact with high level MTV and Viacom executives as well as multiple SVPs and their direct reports, staff and other assistants.
Responsibilities:
• Functions as extension of the SVP by anticipating needs and proactively addressing issues with an emphasis on sound judgment, initiative and confidentiality, with appropriate but minimal direction
• Maintain calendar and flow of meetings for executives demanding schedules
• Ensure deadlines are met, questions are answered and requests are addressed proactively and promptly
• Answer all incoming phone calls and take messages. Respond and direct any calls to the appropriate department or person
• Prepare and manage travel arrangements and T&E reports
• Develop and assist with preparation of presentation material and agendas for daily, weekly and monthly staff meetings
• Point person for Core Services floor space management
• Run department staff meetings, outings and off sites
• Gather agenda items and materials and develop agendas for meetings
• Manage executive relationships and engagements
• Handle audio/visual, video conferencing and teleconferencing requests
• Order office supplies as needed
Basic Qualifications
• 1-3 years of Executive Assistant experience
Additional Qualifications
• Bachelor’s degree
• Proficient user of Microsoft Office applications: PowerPoint, Word, and Excel
• Excellent calendar management skills, including the coordination of complex executive meetings
• Professional and polished while interacting with executives at all levels
• Must be a highly organized, self-starter with ability to handle multiple priorities at once
• Adaptable and resourceful in a dynamic environment
• Must have strong verbal and written communication skills
• Must be a collaborative team player with great initiative
