Are you passionate about the entertainment industry and a go-getter? We are looking for a seasoned Executive Assistant to support two Senior Vice Presidents within Insights, Research & Strategy. The Executive Assistant will be responsible for handling day-to-day operations and administrative tasks for the department.
In this role:
• You will create meeting notes/recaps and distribute to appropriate attendees
• Prepare information and materials for meetings
• You will work in outlook to maintain calendar and contacts and to schedule internal and external meetings
• Prepare and submit Travel and Expense reports
• You will handle and schedule all business related travel
• Answer, screen and direct phone calls
• You will maintain contact lists for internal and external partners needs
• Assist with budgets including invoice processing, tracking and reconciliation
• You will interact with senior executives, providing information and assistance as needed
• You will establish and maintain relationships with various departments
• You will maintain an updated calendar of show premieres and finales for MTV/VH1/CMT
• You will assist in tracking performance/consumer reactions to MTV/VH1/CMT shows in social media using specific tracking tools
Basic Qualifications
• 3 years of administrative experience
• Strong PC and Microsoft Office skills
Additional Qualifications
• Bachelor’s degree
• Willingness to learn new tools/systems
• Fluency in social media platforms
• Real passion for the entertainment industry
• Exceptional oral and written communications skills
• Proficient knowledge of Microsoft Outlook and Office
• High organization/detail-oriented skills
• Ability to problem-solve, work independently or as a teammate
• Strong intuition and ability to anticipate supervisor needs
• Excellent follow-through and follow-up skills
• You have excellent multi-tasking skills and able to prioritize and be flexible in a high pressure, fast moving environment
• Ability to advance issues as needed for resolution
• Excellent verbal and written communication skills
• Strong customer service orientation
• Ability to problem solve and trouble shoot
• High degree of integrity and ability to maintain a high level of confidentiality
