Be highly organized with exceptional interpersonal skills for handling various situations and personalities. This role is responsible for supporting the CEO, SVP, Director of Operations, and any other Agents. This position requires the ability to multi-task and prioritize tasks as they are assigned.
Responsibilities:
Provide daily support to busy executives in all administrative tasks; preparation of all paperwork prior to contracting as well as issuing contracts; deposit tracking; act as first line of contact for all incoming correspondence to the office; manage incoming calls, prioritize phone messages, emails, mail; update and maintain call lists for CEO; interact with clients, managers, buyers and venues and be prepared to handle all of their needs. Other tasks may be required as different situations arise.
Duties:
• Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
• Conserve executive's time by reading, researching, and routing correspondence; draft letters and documents; collect and analyze information.
• Greet clients in person or on the telephone; answer and/or direct inquiries.
• Maintain buyer confidence and protect operations by keeping information confidential.
• Prepare deposit tracking sheets, contracts, and deal memos through data analysis.
• Maintain file archives and retrieve contract and deal information for historical referencing.
• Maintain office supplies inventory by checking stock to determine inventory level; anticipate needed supplies; place orders for supplies; verify receipt of supplies.
• Contribute to team effort by anticipating needs and maintaining data organization.
