- Position Summary -
Movi Communications is seeking an experienced and highly organized Executive Assistant to support the CEO. The desired candidate must have strong organizational and communication skills with the ability to balance an array of administrative/personal tasks and projects. This person should be bilingual in English and Spanish and have an interest in growing within the operations department.
- Roles and Responsibilities -
- Manage and maintain the CEO's calendar strategically and effectively; schedule and confirm appointments to keep her well informed of upcoming commitments and responsibilities, following up appropriately.
- Arrange travel accommodations (domestic & international), including flights, hotel, ground transportation and other related logistics for the CEO and client related projects.
- Manage and reconcile expense reports, receipts, expense tracking & processing on a Monthly basis.
- Be the first point of contact for the CEO with clients and the Movi team.
- Accompany CEO to meetings, taking notes on meetings and calls.
- Manage special requests and related duties including running errands for the CEO as needed.
- Maintain a high level of discretion and confidentiality in all business and personal matters.
- Work closely with the Operations and Finance department with necessary Spanish translations, invoice tracking, and overall administrative support.
- Manage the office with maintaining inventory, purchasing office supplies, technical support, etc.
- Qualifications -
- Bachelor's degree preferred, or applicable industry experience in lieu of degree.
- Minimum 1 year of administrative or personal/executive assistant experience preferred.
- Excellent communication skills in Spanish, both written and verbal.
- Experience with heavy calendar management, scheduling, and meeting coordination.
- Experience with coordinating travel arrangements and bookings.
- Experience with Google Workspace (sheets, docs, and slides), familiarity with project management software (ClickUp, Harvest) and design software (Canva, Photoshop, etc.)
- Have a reliable mode of transportation and a valid driver's license.
This is an in-person position, and the Executive Assistant will work five days per week out of the Company's Beverly Hills office.
