JOB DESCRIPTION
MKG & Pink Sparrow are looking for a knowledgeable Payroll Specialist to process and manage the company's bi-weekly payroll process. The Payroll Specialist will be responsible for ensuring all employees receive the correct compensation in a timely manner. You will be the one to calculate wages based on hours worked and administer payments.
This position is remote for the time being with expectation that the position will be in NY or LA when the office re-opens post-pandemic.
RESPONSIBILITIES:
- Gather information on hours worked for each employee from the timekeeping system.
- Ensure the amounts are calculated correctly for overtime, deductions, bonuses etc. with assistance of the HRIS and timekeeping systems (Paylocity and ConnectTeam).
- Conduct payroll register audits as part of the payroll processing workflow.
- Escalate any concerns or errors to the Senior HR Manager or finance team before submitting payroll for processing.
- Receive approval from management for payments when necessary
- Prepare and execute special off-cycle payrolls through Paylocity, as requested by the leadership team.
- Administer pay stubs to personnel either electronically or on paper, upon request
- Ensure accuracy of state and local tax withholdings and benefit deductions per employee
- Keep track of hour rates, wages, compensation benefit rates, new hire information etc. on GSheets.
- Enter personnel changes (i.e. hourly rates, garnishments, wages, benefits, new hire information, terminations) into the Paylocity system.
- Address issues and questions regarding payroll from employees and/or supervisors
- Prepare reports (i.e. 401(k) reports, and benefit deductions.) for the management team, finance department, etc..
- Assist with Monthly payroll audits with human resources and finance departments.
PRINCIPAL WORKING RELATIONSHIP
Direct Supervisor: This position will report to the Senior People Manager
REQUIREMENTS:
- BS/BA in Business Administration, Accounting, Finance or related field
- 3-5 years of proven experience as payroll specialist
- Current knowledge and understanding of all aspects of payroll procedures and related laws
- Solid understanding of accounting fundamentals and payroll best practices
- Excellent understanding of multi-location payroll and taxes
- Proficient skills and ability to use payroll software with accuracy and efficiency
- An analytical mind and good math skills
- A keen eye for detail
- Outstanding organizational skills with great attention to detail
- Familiarity with payroll software/ HRIS (e.g. SAP, ADP, Paylocity, Oracle) and MS Office (especially Excel)
- Outstanding communication skills (written and verbal) to interact with colleagues and executives.
- Able to use discretion with confidential information
- Proficient in MS Office and Google Workplace
