Job Purpose
Mills Entertainment is seeking a dynamic, customer service driven, VIP Manager to create and fulfill the VIP experience for patrons leading up to and during our newest upcoming tour, American Girl Live.
Job Summary:
This position reports to Producing Team and is responsible for developing and facilitating VIP experiences and activities for patrons, ensuring premium fan experience by serving as brand ambassador while maintaining all standards, including dressing appropriately in alignment with the excellence of the American Girl Brand.
Responsibilities include, but are not limited to:
• Prepare and conduct all communication with VIP patrons (welcome letters, FAQs, continued support and thank you letters)
• Create schedules for VIP patrons to maximize their experience
• Secure VIP parking and create passes as required
• Arrange transportation as required
• Responsible for VIP seating reservations and seating chart for all relevant events
• Prepare and distribute lanyards, gift bags, etc.
• Assist in training VIP volunteers
• Arrange special VIP activities with patrons, such as Meet & Greets, special check-in line, etc.
• Prepare a wrap-up report post-tour
• Supervise and coordinate the full on-site VIP Experience and serve as primary point of contact for both venue operations and VIP patrons
• Advance and Manage the setup of the pre-show party
• Serve as event manager for both pre-show party experience and post-show photo opportunity, managing crowd control, venue staffing and overall fan experience
• Create and distribute all documentation required for venues to provide information to confirmed VIP patrons regarding the performance, venue and premium experiences
• Collaborate with the producers to create and implement a design for the pre-show party, incorporating environment, food, beverage and customer experience
• Establish and manage an efficient timeline and budget for pre-show party in each venue
• Purchase and maintain inventory throughout the length of the tour
• Solicit customer feedback and implement recommendations as necessary
Required Qualifications:
• Minimally a HS diploma or equivalent required; additional education preferred
• At least 4 (years) prior experience working in hospitality, guest relations, or customer service
• Prior working knowledge of premier restaurant operations and/or seating procedures preferred
• Prior touring experience for live entertainment events helpful
• Must be eligible to work in the US
• Must be able to travel globally for the duration of the tour, as required
• Ability to lift at least 30lbs on a regular basis is required
Other Skills:
• Demonstrated ability to work independently, efficiently and executing effectively, under pressure, supporting cast and crew, meeting deadlines
• Must be solution-oriented, exercising sound judgment in decision-making
• Excellent customer service, oral and written communication skills
• Ability to maintain composure, demonstrating tact and diplomacy at all times
• Demonstrated proficiency in Google Docs and MS Office products, i.e. Excel, Outlook & Word
• Proficiency in AtVenu, preferred
