Orion Pictures, an MGM company, is seeking an Operations and Administration Coordinator for our Marketing Department. The ideal candidate must be proficient in excel and have outstanding organizational skills in order to succeed in this fast-paced, deadline driven environment. The ideal candidate is a highly proactive individual who is willing to take initiative while working both independently and as part of a team.
Responsibilities:
• Handle daily administrative tasks including answering phones, updating call logs, scheduling meetings, ordering office supplies, etc.
• Liaise between Finance, Legal, Accounting (AP), IT, and Outside Vendors
• Production Accounting - Ensure invoices are received and distributed for review/approval process; Maintain financial files; Review incoming invoices, check requests, and expense reports
• Assist in quarterly cash forecast
• Processes daily accounts payable (AP) into Basware for processing
• Coordinate development and implementation of marketing initiatives
• Work closely with the SVP of Marketing to coordinate the approved workflow by creating timelines, driving the planning process, and track locked budgets
• Provides timely communications with vendors and/or staff regarding invoicing or account issues as they arise
• Resolve discrepancies in billing and payment (verification of addresses, contracts, terms, and purchase orders). Reconcile bills with receiving reports and other appropriate documents to verify bill is correct
• Prepare and submit expense reports via Concur
• Additional ad hoc duties, including research and administrative projects, as needed
Requirements:
• BA/BS degree
• 1 year of accounting and/or entertainment experience preferred
• High aptitude and enthusiasm for complex problem solving and analysis utilizing financial applications
• Very strong verbal and written skills
• Positive can-do attitude with strong initiative and follow through
• Experience with social networking platforms and tools
• Demonstrated experience with SAP, PowerPoint, Word, Excel, and Outlook
• Familiarity with SOW's, MSA's, PO's/Coding/Reconciliations within SAP, Expenses/Travel Bookings in Concur, Invoice Processing in Basware, P&A Budgets, Brainstorming, Powerpoints, and Scheduling.
