This role requires exceptional attention to detail, great organizational skills and the ability juggle multiple priorities in a fast-paced environment in order to meet critical deadlines. As this position will deal with senior executives inside and outside the company, a high level of integrity and professionalism is essential. Additionally, the individual must be proficient in Outlook and Excel and have the ability to partner successfully with the entire team.
This is an ideal opportunity for a recent law school graduate looking to break into the competitive world of entertainment business and legal affairs. Once acclimated (6-9 months), the candidate will begin (in addition to continuing to handle the administrative duties) spearheading special business and development projects, drafting and negotiating deals. Training will be under the direct supervision of the head of the department. It is anticipated that this position will be a two year commitment and, in success, will prepare the candidate for a career in the Company's business & legal affairs department.
Essential Functions
• Coordinate departmental and inter-departmental communications
• Track the flow of all requests coming into the department, updating status changes on master spreadsheet
• Track work flow of deal requests and high priority on Department board.
• Coordinate and organize a busy calendar - including but not limited to sending detailed calendar invites, anticipating schedule adjustments, and coordinating internal/external meetings and appointments by managing correspondence with other offices and distributing necessary information/materials
• Manage active work files
• Receive calls, take messages and route correspondence, run calls, maintain call log
• Make travel arrangements
• Prepare expense reports
• Maintain contacts
• Manage Incoming e-mail
• Receive invoices, research payment obligations, prepare check requests and submit them for approval
• Scan and electronically file documents
• As directed by Director, Business & Legal Affairs, process and record payments
• Special projects as they arise
Requirements
• Recent graduate of an ABA accredited law school and/or paralegal certificate, a plus
• Admission to California Bar, a plus
• Demonstrated interest in the entertainment industry preferable
• Must be a self-motivated and proactive with a proven ability to work in a fast-paced, environment
• Proficient knowledge of MS Office (Excel, Word, and Outlook)
